Are you an experienced Department assistant who enjoys being the go-to person and are passionate about ensuring a smoothly running office regardless of the task? Then you might be the new Department Assistant for Global IT Operations (GITO) and Global Information Security (GIS). The position is a split position between the two departments but will be anchored in GITO. We are currently based in Bagsværd but will be moving to new offices in Søborg in a near future. The position: As our new Department Assistant, you will be working closely with the management teams and Executive Assistants in both GITO and GIS, assisting on various tasks. Your key responsibilities will be: Ad hoc administrative tasks, primarily in co-operation with our Executive Assistants Support onboarding of new employees – and onboard leaders Help with hiring e.g. booking interviews, registering interviews, etc. Advise / assistant on purchasing process ex. creation of contracts and POs Ad hoc assistance to both GITO and GIS management teams. Support and collaboration with the other administrative assistants across DD&IT. Booking / coordination of travel/ conferences / off sites / lunches etc Who are we looking for: You are a natural go-to person with a service mindset and able to handle many different types of tasks. You thrive in working in a fast-paced environment where priorities can shift quickly, and no two days are the same. Furthermore, you: Have 2+ years of experience as a Department Assistants or similar Are an experienced user of Microsoft tools (Office, Excel, Word, PowerPoint) Have good structure and an eye for details Are an initiator that can come up with new and smarter ways of running administrative tasks Speak fluently English. It seen as advantage, but not a must, that you know our systems (Coupa, ICE, SAP, Concur, SuccessFactors ect.). About the department: You will join Global IT Operations (GITO), an area with 400+ employees distributed across more than 40+ countries. In GITO we manage our infrastructure operations, cloud services, global service desk and digital workplace services. Global Information Security (GIS), which you will also support is an area with approximately 100 employees. Our team consists of leading experts in various areas ranging from network security, white hat hacking, cloud security, cryptography, security operations, to manufacturing security and security risk management and governance. Since we are a global organisation, many of our meetings are conducted virtually and across different times zones.
