Are you an experienced Department Assistant who enjoys being the go-to person and are passionate about ensuring a smoothly running office regardless of the task? Then you might be the new Department Assistant for the two areas ‘Digital, Data & IT Staffs’ (DD&IT Staffs) and ‘Cross Digital, Data & IT’ (Cross DD&IT). Both areas are sub areas of Novo Nordisk DD&IT. The position is a split position between the two areas. The position: As our new Department Assistant, you will be working closely with the management teams and Executive Assistants in both DD&IT Staffs and Cross DD&IT, assisting on a variety of tasks. Your key responsibilities will include: Ad hoc administrative tasks, primarily in co-operation with our Executive Assistants Support onboarding of new employees – and onboard leaders Help with hiring, e.g., booking and registering interviews Ad hoc assistance to both DD&IT Staffs and Cross DD&IT management teams Booking / coordination of meetings / travels / conferences / off sites / lunches, etc. Coordination and collaboration across the administrative network of DD&IT Updating SharePoint Advise / assist on purchasing process, e.g., creation of contracts and Purchase Orders Ad hoc assistance with office facilities e.g. ordering of chairs, tables, screens, repairs, etc. Who are we looking for: You are a natural go-to person with a service mindset and able to handle many different types of tasks. You thrive working in a fast-paced environment where priorities can shift quickly, and no two days are the same. Furthermore, you: Have 2+ years of experience as a Department Assistant or similar Are an experienced user of Microsoft tools (Office, Excel, Word, PowerPoint) Have good structure and an eye for detail Are an initiator that can come up with new and smarter ways of running administrative tasks Speak and write English fluently It is seen as an advantage, but not a must, that you have some knowledge in one of our used systems (Coupa, ICE, SAP, Concur, SuccessFactors, SharePoint etc.). About the areas: You will join Cross DD&IT and DD&IT Staffs. In Cross DD&IT, an area with 390 employees, we are responsible for application technologies, platforms, and services used across Novo Nordisk. DD&IT Staffs, which you will also support, is an area with approximately 180 employees. DD&IT Staffs implement and support IT solutions that Novo Nordisk employees are using every day within the areas of Finance, Legal & Global Solutions, People & Organisation, Quality, and Facilities.
