VIKING is looking for a part-time Administrative assistant for our reception approx. 18-20 hours a week. You will be working 3-4 hours per day.
In addition to welcoming guests and employees and coordinating front-desk activities, distributing correspondence and redirecting phone calls etc. you will offer daily administrative and analytics support to the HR department and on an ad-hoc basis to other parts of the organisation.
You will be a part of our Global HR Department where you will report to our Global HR Director.
Primary tasks and responsibilities:
- Provide support for HR administrative tasks (e.g. on-boarding, off-boarding, employee handbook, social events etc.)
- Welcome visitors and answer all incoming calls
- Receive, sort and distribute daily mail/deliveries
- Scan of invoices
- Make travel arrangements (taxi and hotels)
- Register vacation and other absences in SAP
- Course Administration
Who are you?
Your central purpose is to support the HR department and provide professional service to our visitors and employees. As the ‘face’ of our company, the successful candidate will be presentable and friendly, with outstanding people’s skills. You should have a talent for multi-tasking, with excellent communication and organizational skills.
You thrive in a busy environment and it is important that you are confident, resourceful and proactive when issues arise.
We expect that you:
- Have proven work experience as a HR assistant, receptionist or similar
- Proficient utilizing Microsoft Office programs (Outlook, Excel, and Word)
- Excellent organizational skills including ability to prioritize and coordinate multiple tasks
- Excellent interpersonal skills with the ability to effectively interact with internal and external business partners and staff at all levels
- Excellent written and verbal communication skills in Danish and English
