As the Department Assistant your primary responsibility will be to provide administrative support to four departments API IT & Future Operations with focus on API IT. The work will involve a diverse range of administrative tasks, and you will work closely with other assistants in the area. The position API IT & Future Operations is looking for a talented candidate to play a key role supporting the daily life of management team in API IT & Future Operations. Your main tasks as the Department Assistant will be: Calendar planning and coordination across the department and the management team. Coordinating meetings and seminars, including preparation of agenda and taking minutes. Participate in recruitment processes. Assisting with onboarding internal and external colleagues Basic accounting, invoice, expense, and contract handling on department level. Create a good atmosphere and act as “go to” person for department related activities. Support API Business Support assistant group with cross Business Support tasks. Furthermore, you’ll be a key person in the departments providing quick assistance to your colleagues with a variety of practical matters as needed. Qualifications To succeed in this role, you must have the following qualifications: Experience within similar roles with administrative and supportive tasks Excellent communication skills in Danish and English - both written and spoken. Flair for IT and experience with MS Office 365 and the interconnected functionalities. You have high social intelligence and are good at stakeholder management. You are skilled in both written and spoken Danish and English. Adaptability to new situations in a continuously developing environment. As a person, you are reliable, loyal, and service-minded. You have a can-do attitude and can effectively plan, prioritize, execute, and follow-up in a proactive and timely manner. You have a natural ability to establish good working relations across the organization and reach agreements through flexibility and compromise. You have solid skills in driving administrative processes and organizing tasks. You must be able to prioritize own tasks, work independently and be forward-looking. You have the ability and willingness to adjust quickly to new situations in a continuously developing environment. About the department The position as Department Assistant for API IT and Future Operations is organized under API Business Support and located at our API site in Kalundborg. We support API globally both Kalundborg and US North Carolina. The department that you will join currently consist of approx. +45 highly engaged and highly motivated colleagues with competencies covering both IT, Project Management, Manufacturing Intelligence, Automation and are at the forefront of technology and production. We are responsible for driving the digital transformation across API, enabling remote operation across sites across the Atlantic. The API Business Support area consists of about 150 highly qualified employees with a multitude of professional backgrounds, all with the common purpose to support our production and implementation of Novo Nordisk strategies within API.
