Our chief multi-tasker Marie-Louise is going on maternity leave this spring, and we are looking for someone to cover her important tasks for 12 months.
So, if you want to stretch your organizational and interpersonal skills and engage with stakeholders and colleagues at all levels in an international environment, then this is your chance. Are you highly organized, a self-starter, super service-minded and have excellent time and diary management skills? Then you could be our Executive Assistant for Svitzer HQ.
We offer
As Executive Assistant to our CEO, your priority is to ensure proactive, seamless, and effective support for our CEO and our Executive Leadership team. You will be a trusted member of our organization and first point of contact for a lot of inquiries that require full confidentiality. Among other responsibilities is office management, where you provide practical and administrative support proactively and where needed.
Svitzer is a global market leader providing towage and sustainable marine solutions to customers in 40+ countries across four regions. As a standalone company and as part of Maersk we have been providing safety and support at sea since 1833. We help our customers maneuver their larger ships safely and timely in and out of ports globally. Most of our business is to support container vessels, cargo ships, cruise ships and navy vessels but we also attend to emergencies like vessels being adrift or offshore fires.
The role is based with Svitzer headquarters, which consists of approx. 70 people, located in the heart of Copenhagen as part of a wider Maersk campus. You will have access to the fitness center and classes, occasional Friday bars and can look forward to our canteens that serve delicious and healthy breakfast and lunch. In Svitzer we support workplace flexibility and a sound working environment, and you will be instrumental in supporting us on this journey.
Key responsibilities
As Executive Assistant & Office Manager in Svitzer HQ, you will be working closely with colleagues in Copenhagen and across the globe to deliver on following responsibilities:
EA role:
• Calendar Management
• Expense Management for CEO and serve as go-to expert on the same for the Leadership Team
• Travel Management, including planning and booking for CEO and Leadership Team while also being the go-to expert for Svitzer HQ
• Preparation of documents and presentations
• Resolution of day-to-day practical issues and queries
• Assist HR with onboarding and offboarding of employees
• Event Management of conferences, internal and external meetings, workshops, special anniversaries, and social gatherings
• Coordination and approval of vacation for CEO and Leadership Team
• Ad hoc administrative tasks
Office Management:
• First point of contact for Facility Management (HQFM at Maersk)
• Work Environment Committee member
• Support Svitzer HQ with mail and deliveries
• Responsible for booking of catering when needed for business meetings in Svitzer HQ
• Approval of invoices and creation of Purchase Orders.
• First Point of contact for vendors
• Support Svitzer HQ with administrative ad hoc tasks
We are looking for
As a person you can anticipate and address the needs of the CEO and our colleagues in Svitzer. With a high sense of urgency and drive for results, you are well-organized, detail-oriented, and persistent in ensuring that all tasks are delivered and at high quality.
You possess excellent organizational skills and can prioritize your tasks. You are a keen team player, with a passion for ensuring close collaboration with the overall organization.
Besides being able to communicate concisely, you are also approachable and a good listener. You are comfortable with changes and able to adapt and come up with solutions.
Other qualifications:
• Prior experience in a support role within an international organization is an advantage
• Proficiency with MS Office (Excel, PowerPoint, and Outlook)
• Fluency in written and verbal English
