Job Description

We are currently looking for an Executive Assistant (m/f/d) to manage and oversee all administrative operations in the Power Solutions Executive Office.

In this role, you will interact with all departments, functional areas and divisions, maintaining a professionally run office that is efficient, collaborative and responsive. It will be your responsibility to ensure an effective calendar management as well as to organize and coordinate teleconferences and meetings, including meeting preparation and follow-up. Additionally, you will schedule, execute and assist with team activities such as staff meeting agendas, on-/off-sites and team events. You will furthermore participate in project-related work, assemble and analyze data to prepare reports and documents.

Your managers will rely on you for their successful and smooth business travel, so you will manage and arrange all travel, develop detailed travel itineraries and meeting agendas. You will prepare and edit routine correspondence and agendas as well as confidential correspondence, communications, presentations and other documents. You will proofread and translate internal and external communication and take care of other ad hoc administrative tasks. Above all, you will be a trusted advisor for our executive leaders.

Background and skills:
To be successful in this role, you have a commercial bachelor’s degree or equivalent experience with substantial experience in management assistance at the executive level within a fast-paced environment. You are a proactive organizer with strong commitment and a service-oriented mind-set. Additionally, we are looking for:

  • Strong organization and reporting skills combined with the ability to coordinate multiple work streams

  • Customer-oriented and open-minded character with strong communication skills

  • Ability to work independently and productively within a fast-paced environment

  • Absolute discretion regarding proprietary and sensitive information

  • Very good knowledge of Microsoft Office programs and Adobe, preferably experience with SAP Concur and Power BI

  • Fluent English and German language skills
