Global Risk Clinic is looking for a new Executive Assistant for the CEO

Title: Executive Assistant

Location: Head Office

Reference to: Michael Jensen

Job Description: The role will assist the CEO with scheduling, organization, and administrative tasks. This role will help advance company initiatives and goals and ensure the CEO can focus on the strategy, business model, leadership, and global sales. The role also requires you to have experience within bookkeeping and maintain the day to day bookkeeping for the company.

Responsibilities will include:

  • Weekly meeting: Have a weekly meeting with the CEO and schedule adhoc meetings as needed.
  • Alert: Alert CEO of urgent matters by calling and texting
  • Task Management: Help maintain the CEO`s tasks in planner and discuss with him on an ongoing basis.
  • Scheduling: Manage the CEO’s calendar and help coordinate externally and internally, including coordination of the internal core team calendar. Look a couple of weeks ahead at all times to ensure that scheduling conflicts are resolved, and timing make sense (block time before and after flights etc.), not over book (important).
  • PA´s E-mails: Reviewing, Prioritizing, and Responding.
  • CEO´s email inbox: Review in the morning and delete spam/junk, red flag high priorities and/ or draft responses if appropriate. - especially essential when the CEO is traveling.
  • Social media: Check CEO´s and GRC´s LinkedIn daily and reply to useful messages and/or alert CEO if anything is urgent.
  • Phone Calls: Answering and Returning.
  • Documents: Help develop, format, and organize documents and other information for internal and external communication, such as, memos, e-mails, sales and other presentations, reports, etc.
  • Meetings: Attend with the CEO, including customer meetings, and take clear and concise notes. Take notes at meeting for courses/events help coordinate dates and meetings.
  • Travel and Logistics: Make cost efficient travel and accommodation arrangements and support CEO in all other logistical aspects and help coordinate events, such as team events.
  • Expenses: Track and report on expenses. Develop travel and expense reports and work with bookkeeping to ensure the books are up to date.
  • Sales Navigator: Daily look at Sales Navigator if there are any new and relevant messages, if so pass them on to the CEO.
  • Other Tasks, as we evolve and grow as an organization.
  • Every Thursday: Sent out the weekly team agenda on Thursdays
  • Share Documents / help maintain SharePoint: Share/sent needed documents to Core Team

Skills:

  • Potential responsibility for other employees/students if more are onboarded.
  • Can act independently with approval needed for large expenses.
  • Knowledge of organizing and planning.
  • Close collaboration with everyone
  • High level of independence required as the company is a startup and tasks are not all set-in stone. Responsibility for prioritizing what will ensure long term success for the organization.
  • Experience with bookkeeping

Experince within EA or PA work is highly recommended
