About the job
We are seeking an Executive Assistant and Back Office Manager to oversee operations at our Copenhagen Office situated in Copenhagen.
As the new Executive Assistant and Back Office Manager, your responsibility will involve leading an efficient and hospitable Office Management function where you will be interacting with all employees and collaborating closely with management, and other support departments.
Your primary tasks will include:
- Organizing strategic meetings from sending out invites to crafting agendas, managing presentations, and taking minutes.
- Assisting in the development and organization of governance materials and bolstering external communications.
- Coordinating logistics for facility bookings, travel arrangements, and accommodations for meetings and conferences.
- Managing executive and corporate calendars to optimize efficiency.
- Efficiently and smoothly managing the day-today operations of our 60+ employees office and with a high standard of service
- Overseeing tasks such as managing the lunches and coordinating with various service providers, including carpenters, electricians, and others.
- Purchasing office supplies, equipment and ordering goods for the canteen
- Tidying the office and meeting rooms before and after meetings
- Collaborate closely with employees to coordinate travel arrangements, including hotel bookings.
- Performing other ad hoc administration tasks for management
About you

- A masters’s degree or equivalent education
- At least 2 years of related job content experience working as an executive assistant
- Exceptional communication skills in English, both written and oral (Danish is a plus)
- Advanced experience with Microsoft Outlook, Teams, and Microsoft Office
- A proactive, action-oriented approach to work.
- The ability to thrive in a dynamic, high-paced international environment.
- Outstanding planning and organizational talents.
- A collaborative spirit, with strong interpersonal skills.
