All about the role

As the Senior HR Administration Specialist, you work hand in hand with the HR Business Partner, The Recruitment Team, Talent & Acquisition, The Planning Department, the line Managers and the rest of the organization in the Scandinavian market. With help of Experience in detailed HR Administration in an international environment you’ll provide that backbone of HR related services which ensures us all that our Employees are treated the right way, in Terms of the Law, GDPR, Agreements with Unions and our Internal Global and Local HR Policies. You’ll report to the HR Business Partner, Denmark & Norway but will have solid back up from HQ on all System related topics and training needed for your role.

Responsibilities

  • Implement Standard Operation Procedures in all HR Administration related processes - also those carried out in the day to day operation by others
  • Answering more complex questions from employees from the Scandinavian Market via telephone and email
  • Providing information in regards to among others payments, onboarding or offboarding, sickness, policies, employment contracts, Disciplinary actions taken
  • Liaising with internal and external suppliers, primarily Systems
  • Initiating equipment shipments for new employees and collection of equipment from leaving employees
  • Keeping in touch with colleagues responsible for equipment stock
  • Administration around changes in schedules, sickness etc.
  • Continuously searching for ways to improve processes and service levels
  • Execution of all administration around our employees in Scandinavia

  • Answering more complex HR-related questions from our employees
  • Creation of contracts, contract change documents and other HR documents
  • Supporting the Payroll team
  • Management of the employee files
  • Administration around sickness and absence and supporting the managers handling this in the correct way

Can you deliver

  • Strong Experience in HR Administration in an international Operations Environment,
  • Bachelor degree in HR or related topics,
  • Fluent English and Danish. Understanding of Norwegian is an advantage.
  • Advanced MS Excel/Google Sheets skills
  • Experience with Workday, Asana, HR Manager and other systems
  • Excellent analytical skills and numerical reasoning
  • Organizational understanding:
  • Good at building lasting relationships with Key stakeholders
  • A problem solver who often comes through the Chain of Command with “this was the problem and we solved it like this” and seldom escalates problems
