The IT Project Manager and Operational Coordinator


You will ensure organisational needs are operationalized in IT whether it be evaluating, coordinating, or advising around new digital solutions, the day-to-day coordination of the IT group or direct support within O365.

The position consists of:

IT & Digital Project Management

You will be responsible for strong Digital Portfolio Management and flow in communication and progresses and:

  • Identify business needs and risks with a user centred approach to ensure high adoption level
  • Develop standards, and procedures, and support digital project managers
  • Manage shared resources for digital projects (e.g. with regards to security) and overview of projects, dependencies, and solutions and ensure coordination of hosting and services
  • Lead the IT Champions Group to gather new needs and ensure high adoption of the selected solutions

IT Operations Coordination

You coordinate the IT group and support the organization in the use of Microsoft applications including;

  • Operational plans & priorities incl. weekly follow up and status for the IT Group
  • Coordination among the IT Group and IT vendors incl. implementation of tools that increase IT group effectiveness
  • Support related to O365 applications & SharePoint
  • Define devices and software requirements based on organizational needs and development

IT Administration

You will;

  • Qualify and monitor activity and budget plan
  • Ensure procurement of IT services, software, and hardware in accordance with AADK Procurement policy
  • Manage licenses and administrate Office 365

Stakeholder & Vendor Management

You are expected to:

  • Propose strategies to address business processes and digital needs
  • Gather external proposals when required and support project managers with solution analysis, risk and mitigation strategy as well as contract management
  • Handle ongoing communication and agreements with stakeholders and vendors
  • Coordination with AAI Digital & Technology department.

A Few words about IT at AADK

AADK has a clear Cloud strategy with a hybrid set up of servers on Azure and dedicated applications hosted by third part suppliers. Some of our core IT operations are internal; others are managed by partners and consultants. Our common IT universe is mainly based on O365 incl. Teams and SharePoint, while we also use Podio for some applications and Zoom for conferencing.

The IT group manages several large projects: a B2B Azure Federation with ActionAid; an International Digital Collaboration ‘Project Teams’ that aims to increase effectiveness and reduce our CO2 footprint; the transfer of our phone platform to Teams; and a portfolio of security efforts.

Among large scale projects managed by other teams supported by the IT group are: Digital Activism, Digital Learning, and Digital Engagement in Denmark.

The job requires that you have:


  • Strong experience and successes in Project Management e.g. Prince2 and Agile Project Management
  • Completed successful digitalization of business processes with a user centred approach
  • Solid experience and knowledge of Office 365 and SharePoint Cloud solutions, both hands on and administration
  • Experience with technical team coordination - use of ITIL methodology or alike is an advantage.
  • Some experience in budget and resource management

We expect you to have:

  • The ability to navigate in a complex context with many and divergent stakeholders, agendas and limited resources, experience from non-profit business is an advantage
  • Strong communication skills and ability to bridge your tech-knowledge to non-IT colleagues
  • A curious and solution-oriented mindset with the ability to prioritize and structure work
  • Strong interest in digital solutions generally – in other words you are not married to one solution

We would appreciate a person with analytic skills and strategic thinking. And it is a prerequisite that you are culturally sensitive – you appreciate cooperation also when the individual has a different background and approach than you. You have a strong sense of purpose.

The Team


This position is within the People System Development team (PSD), which consist of two groups; HR and IT, we are ambitions and personable, love a good laugh and work together in a collegial fashion.

The IT group is composed of a System administrator & Security Manager, a part time front desk and support officer and the IT Project Manager and Operational Coordinator; furthermore, the group is supported by few external consultants and providers.

The IT group focuses on internal digitalisation and improvement of our cooperation platforms; on supporting digitalisation of business; on processing end users; and implementing our new InfoSec Policy; and the group participates in developing a digital innovation culture which embraces the needs of volunteers and external partners, and our federation collaborators.

selected for a second round we will ask you to take part in a personality assessment including a 45-minute feedback session. The 2nd interview will include an assignment.
