About the department
The Rare Disease Unit (RDU) is an International, multi-centered business unit comprising of three sub-units and 10+ team members that are based in three locations (San Francisco, Boston and Copenhagen). The unit’s focus is to lead the establishment, advancement and com-mercialization of LEO Pharma’s growing rare disease portfolio in close partnership with internal and external stakeholders.
The position
The Team Assistant (TA) position is a key function that carries out coordinating, communicative, QA and administrative duties as part of the RDU. The TA’s key priority is to ensure the smooth running of the business unit across time zones by carrying out the day-to-day administrative and coordinating role as an integral part of a multi-functional, ambitious and highly committed team. The overall role of the TA involves communication (e.g. replying to email inquiries and composing business-to-customer and business-to-business correspondence), planning, coordination, documenting and optimization of team meetings and events.
Moreover, the TA is responsible for assisting the three RDU sub team leads (the Commercial lead, the Patient Engagement lead and the Medical lead), in the arranging of travel and accommodation for external guest and key collaborators (patients and HCPs).
Lastly, the TA is responsible for the establishment of contracts (in collaboration with Alliance Management), for contract design and filing, as well as for planning and leading the RDU Quali-ty Assurance processes and annual review, in order to ensure audit-readiness.
Your qualifications and experience
We are looking for someone who is passionate about stakeholder management, communication, and event management. You are an outgoing person with a can-do-attitude, a healthy sense of humor and a strong drive and dedication to contributing to the team success. You will be given a high level of responsibility planning, execution and evaluation of key projects and events. You are solutions-oriented, service-minded, and have an excellent level of English proficiently both in written and spoken form. Furthermore, you are proactive and dedicated, and thrive in a fast-paced environment. It is an advantage if you have experience with the pharmaceutical industry and/or working with non-governmental organizations. You are a Microsoft Office super user; especially when it comes to PowerPoint and Excel.
It is a clear advantage if you are quick to gain an overview of processes, have a flair for IT, and that you have a structured and systematic mindset.
