Office Manager, Poland (Maternity Cover 18 Months)

Would you like to support our offices in Warsaw and Gdynia with office supply, coordinate events, and handle day-to-day activities to assist our Project Development teams in developing our pipeline of solar and wind energy projects Poland? Your new role

As our new Office Manager you will provide service, organize office supplies, handle day-to-day activities, and coordinate events for our two offices in Poland – Warsaw and Gdynia. The position is based in our Warsaw office.

You will play a crucial role in the daily function of our offices and for our colleagues here.

Our current Office Manager will soon be on Maternity Leave, and we are now looking for a temporary 18 months cover. For the right person, there will be possibility to join permanent afterwards.

Key Tasks includes

  • You will manage our two office spaces in Warsaw and Gdynia
  • You will organize incoming correspondence in paper form and distribute to the right person also you will be organize outgoing correspondence in paper form
  • You will order office supplies, fruit, etc.
  • You support with the IT equipment for our colleagues and have contact with the internet provider
  • You will handle day-to-day things in coordination with your colleagues in Poland and as well as the HQ in Denmark (especially IT and Finance departments)
  • You will be coordinating meetings, trainings, celebrations, and team events and arrange venue, food, invitations, etc.

You will cooperate with external service providers (e.g. MultiSport, notary's office, translation agency, telephone operator, cleaning companies)

To thrive in this role we imagine you have the following competencies:

  • You have completed your education in Administration or Management, or similar – or you are at your last years of your studies and can work 4 full days per week.
  • You have 2-3 years of relevant experience
  • You are skilled in MS Office (Outlook, Excel, PowerPoint)
  • You are fully proficient in Polish and English, oral and written

As a person, you are service-minded, structured and organized by heart, and you have great coordination and planning skills. You use your expertise and interest in organizing and planning to make things happen behind the lines.

You take ownership of your tasks and are reliable. You work independently and can think ahead and see what to be done, before it happens.

You enjoy working closely with the country manager, departments across the company, as well as external providers.
