Provides administrative assistance to BU management and Board Members,
including board activities, visitors, correspondence, appointments,

Principal Accountabilities:

  • Possessing outstanding administrative and organization skills, detail oriented, able to prioritize and multitask and demonstrate strong ownership evident through responsibility and accountability for end product;
  • Organizing and leveraging time effectively, managing heavy scheduling and all calendar items. Coordination travel logistics with upmost detail (e.g. complex travel arrangements, meeting coordination, telephone/video conference calls and WebEx’s, filing, handling of correspondence, taking minutes, expenses);
  • Producing written communications on behalf of the Executive inclusive proficiency in PowerPoint, Excel and Word and all activities within Microsoft Office;
  • Pro-actively executing preparations of board documentation, management proposals and summaries for presentation and review to the Executive;
  • Engaging in content and subject management from team meetings and bringing information to fruition to assist with highlighting action plans and tasks for the Executive;
  • Assists and follows up on specific projects, events and targets established within the role of the Executive;
  • Maintains confidence and protects the portfolio by keeping information confidential;
  • Establishes and maintains highly effective working relationships in terms of presentation, hosting, preparation with senior management, and other appointed officials, business leaders, board members, and others encountered in the course of work.

QUALIFICATIONS/SKILLS/EXPERIENCE

  • Preferred 5-7 years of proven Personal/ Executive Assistant experience in an international environment and related Bachelor’s degree in Business or related field;
  • Proven communication skills in English including strong typing and proofreading skills with ability to produce typed documents quickly and accurately in all Microsoft Office programs – and One Note
  • Possess excellent interpersonal skills, maintains integrity and embodies a positive attitude;
  • Works independently in setting priorities, excels in time management and is able to work efficiently and effectively in a fast-paced, deadline-driven, high-pressure environment
  • Ability to anticipate and take initiative to manage or collaborate in budget oversight and event coordination;
  • Use a high degree of tact, discretion and diplomacy in dealing with sensitive situations and concerned groups and/or individuals and commit to practice a high level of confidentiality and compliance;
  • Ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks;
  • Can-do attitude.
