Business Operations Coordinator
Sales and Marketing

We are looking for a new colleague to join our Business Operations function. Business Operations is the main contact for our customers with regards to technical questions concerning our products.

The team is also heavily involved in many different projects across functions and launches. On a daily basis, the team works in close cooperation with the regional sales team as well as internal departments, such as Regulatory Affairs, Quality, R&D, Manufacturing, Customer Service, etc.

You will be a part of a global team of total 14 coordinators, specialists & managers located across the Globe. You work closely with very committed and engaged colleagues sitting in China, Denmark, Hungary India, UAE and US.

This open position will be based in Copenhagen and here you will have an opportunity to be in close contact with 4 of your colleagues/team members.

List the responsibilities and tasks:

• GTS responsible for assigned customers:
- Ensure a timely and correct response to technical inquiries received from customers
- Be the go to person for any technical inquiries from customers. Coordinate customers requests across the organization with the support of management on complex cases.
- Coordinate and be the main responsible for the communication flow in the establishment of CDAs with customers and sharing of technical information as applicable
- Ensure proper review and coordinate the process of establishing TA/QA agreement with customers
- Support QA group in handling customer complaints by gathering all the required information from the customers, informing customers on progress as needed and coordinating sharing of complaint closure.
- Coordinate testing of samples in order to identify potential threats from Xellia’s business with the help of the Marketing/Competitive Intelligence group.
- Maintain customer requirement list, coordinate meetings with other stakeholders, follow up on agreed actions and updates of relevant SOP.
- Support QA group in preparing, hosting and responding to customer audits on Xellia site
- Support Business Operations and Sales team with requests for ad-hoc projects
- Develop technical information on new and existing products
- Support Sales Managers on customer visits and attend relevant exhibitions to maintain relationship with existing customers and build relationship with new customers.
- Coordinate and drive customer notification of change controls and deviations. Evaluate on behalf of our customers the actions required based on quality agreements and commitments to customers.

Your profile and competencies
Your educational background is Master of Pharmacy, Chemistry, Chemical, Biotechnology or other relevant scientific branch.

To be successful in this position:
- You have excellent communication skills and excel at stakeholder and expectation management.
- You are comfortable giving presentations at both internal and external meetings.
- You have drive and are a great facilitator in projects, processes and communication across functions and with customers.
- You are organized, structured and able to work independently.
- Our international demands require that you are fluent (oral and written) in English. Any other language will be a plus.
- In addition, you are a team player, have a desire to learn and continuously develop and you thrive working in a multicultural environment.
