ICARS is looking for a grant manager/officer with strong competencies in administration and coordination of grants. About ICARS
The International Centre for Antimicrobial Resistance Solutions (ICARS) was established by the Danish government in 2018 with a mission to develop evidence-based solutions to mitigate antimicrobial resistance (AMR) in low- and middle-income countries (LMICs) across the human, veterinary and environment sectors taking a One Health approach.
Working in partnership with LMICs, ICARS’ projects focus on intervention and implementation research leading to sustainable, scalable AMR mitigating solutions across the One Health sectors. Projects are co-developed with LMIC partners who implement the projects.

About the position
We are recruiting a Grant Manager/Officer to support the effective management of external grants for ICARS. Under the supervision of Director of Operations, and as part of our Monitoring, Evaluation, Accountability and Learning (MEAL) Team, you will be responsible for the upstream grant management with external donors. This will include ensuring the compliance requirements are met and that grant reporting is coordinated, timely and of high quality. Additionally, you will support the Partnerships and Science team in coordinating grant writing and fundraising activities as well as administrative and logistics tasks to help deliver on the different activities outlined in the overall workplan for the organisation and specific grant deliverables.

Your background, professional and personal qualifications
We are looking for persons with an advanced level university degree (Masters equivalent degree) in any subject relevant to public health, project management or business administration. Three or more years’ experience in public health or non-profit administration, grant management, donor relations management or fundraising are required. Previous experience in global health, antimicrobial resistance mitigation, climate change and gender projects would be an asset.

Terms of employment
Salary and appointment terms will be based on the collective agreement between the Danish Ministry of Finance and the Danish Federation of Professional Associations (AC) (overenskomst for akademikere i staten). Depending on your academic qualifications and experience there is a possibility of being classified as a “fuldmægtig” or a “Special Consultant”.
This is a full-time, 2-year position based in Copenhagen, Denmark.
The position is dependent on funding and available as soon as possible.

About the position
We are recruiting a Grant Manager/Officer to support the effective management of external grants for ICARS. Under the supervision of Director of Operations, and as part of our Monitoring, Evaluation, Accountability and Learning (MEAL) Team, you will be responsible for the upstream grant management with external donors. This will include ensuring the compliance requirements are met and that grant reporting is coordinated, timely and of high quality. Additionally, you will support the Partnerships and Science team in coordinating grant writing and fundraising activities as well as administrative and logistics tasks to help deliver on the different activities outlined in the overall workplan for the organisation and specific grant deliverables.
In this role you will participate in upstream grant management, including:
- Establish strong, effective and positive communication lines with external donors for specific grants received by ICARS
- Ensure that ICARS is fully informed and complying with grant regulations set out by the external donors
- Maintaining grant compliance and reporting, including outcome measurement and grant budgets at high quality, effectiveness, timeliness and completeness:
- Monitoring donor reporting schedules and requirements
- Tracking progress towards organisational and programmatic outcomes
- Requesting disbursements of grants when needed
- Drafting progress reports and targeted program updates from technical project implementation
- Coordinating and drafting all materials and documents, including financial reports (in collaboration with the finance team), deliverables tracking (in collaboration with the MEL team) and case studies that are required as part of donor reporting (in collaboration with the Science Team)
- Ensuring that external funders are acknowledged through ICARS communication mechanisms (website, newsletters and social media)
Furthermore, you will help coordinate our outreach/fundraising by:
- Identifying and supporting the development of new proposals or funding opportunities when requested
- Maintain a library of grant support documents for ICARS (CVs, policy overviews etc.)
- Supporting the organisation and execution of ICARS meetings or events (virtual or in person) with donors and/or external stakeholders
- Produce reports and minutes from high-level meetings as required
Taking on this dual role, you will be
- Collating information and draft documents, reports and/or presentations for different purposes
- Supporting other administrative tasks as needed
- Archiving all email communications and relevant documents according to Danish laws
- Assisting with any other tasks requested

- Microsoft Office, including Word, Excel and powerpoint,
- Initiating and maintaining partnerships with a wide range of stakeholders
Personal qualifications:
- Excellent organisational and administrative skills with demonstrated ability to successfully manage competing priorities
- Evidence of ability to multi-task and manage a fluctuating and at times heavy workload, including the flexibility to take part in two teams
- Strong verbal and written communication skills, including the ability to synthesise information conveying key points clearly and concisely
- Quick learner who can work with technical public health topics
- Ability to work across global teams
- Proficiency in English (English is our working language)
- Proficiency in other languages i.e. French, Spanish and/or Arabic is desirable
- Proactive and self-motivated
- Flexible, creative and enthusiastic with pioneer spirit
- Responsible and solution-focused
- Strong interpersonal skills with evidence of having developed and maintained effective stakeholder/working relationships
- Ability to work independently as well as with teams.
- Interest in working with AMR mitigation in low and middle income countries
