Are you service-minded and structured, and do you thrive in a busy environment? Would you like to be the first point of contact at the headquarters of an international organisation?

You will be part of and contribute to our Facility Management team which is as part of HR Services, including Payroll, Masterdata, Tax, Compensation & Benefit.

Tasks & responsibilities: You will…

…be the first point of contact for everyone coming to our headquarters in Aarhus. You will offer administrative support across the organisation, welcome guests and employees and coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

You will also be responsible for:

  • Direct visitors to the appropriate person and office
  • Ensure that the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Arrange travel and accommodations and prepare vouchers
  • Keep updated records of office expenses and costs
  • Facility Management’s email inbox
  • Manage catering orders from all departments and maintain canteen members list
  • Order/manage starter kits and name signs for new employees
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

    We expect that you:

  • Have proven work experience as a Receptionist, Front Office Representative or similar
  • Are proficient in Microsoft Office applications, incl. Skype, Dynamics AX and Suite
  • Have hand-on experience with office equipment (e.g. fax machines and printers)
  • Have solid written and verbal communication skills in Danish and English
