Who are we?

The Danish Refugee Council (DRC) Standby Roster (SBR) is part of the Humanitarian Strategic Surge Capacity team within the Programme, Policy and External Relations Department.

The DRC SBR has for more than 30 years assisted UN agencies around the world with deployment of experts to fill capacity gaps in humanitarian operations with short notice. The DRC SBR is considered a leading partner to several UN agencies including UNHCR, UNICEF and WFP. The team is managing several rosters that enable the DRC SBR to deploy expert staff on short notice to the UN and DRC operations globally.

About the job

The Programme and Operations Coordinator will become part of a team managing three rosters namely the Humanitarian Response Roster (HRR), the Resettlement Roster and the Registration Roster. All rosters consist of experts who after a thorough recruitment and onboarding process become members that are on standby to deploy. In addition to managing deployments to the UN the team is also facilitating induction trainings and technical trainings hosted by the UN.

In this role you will be in charge of a selected number of deployments under several rosters as well as being in charge of all training activities under the HRR ranging from administrative and logistical arrangements to co-developing the induction training schedule and co-facilitating.

The Programme and Operations Coordinator will report to the Head of the DRC Standby Roster but will be working in close collaboration with the rest of the DRC SBR team.

The key duties and responsibilities of this position are:

Deployments:

  • Responsible for all administrative tasks related to a selected number of deployments of experts on the Humanitarian Response Roster and Resettlement Roster. This includes sending deployment offers, requesting contracts, submitting all relevant documents to the UN, booking of flight tickets, supporting visa applications, undertaking briefings and debriefings, providing continuous support during deployment, handling financial settlements and updating our tailormade deployment database.
  • Responsible for all deployments funded by our UN partners under the Reimbursable Loan Agreement scheme including all tasks as listed above. This also includes preparation of deployment budgets, budget follow-up and financial reporting to UN.

Trainings:

  • Responsible for all practical issues related to the organization and facilitation of two annual HRR Induction trainings (online). This includes organizing venue, contracting trainers, updating and developing the training schedule, facilitating selected training sessions as well as following up and evaluating the trainings.
  • Responsible for receiving, registering and nominating roster members to UN hosted trainings as well as all handling administrative issues related to the members’ participation in these trainings.

Other tasks:

  • Focal point for a number of selected cross-cutting tasks in the unit (e.g. loss account tracker, travel agency, Mastercard, Procurement).
  • Contribute to strategy development, standard operating procedures, templates and others as needed.
  • Contribute to donor compliance, donor reporting and audits.
  • Other ad hoc and backstopping tasks including deployments for other rosters and cross cutting responsibilities.

About you

To be successful in this role we expect you to have excellent interpersonal and communication skills and the ability to quickly build rapport with individuals and groups and to maintain networks. You must be able to work autonomously, take initiative and pro-actively engage with others. We work in a fast-paced environment that requires flexibility, structure, and the ability to handle many tasks at the same time. We deploy our roster members to hardship duty stations and take our duty of care responsibility serious.

All employees should master DRC's core competencies: Communicating, Taking the lead, Collaborating, Striving for excellence and Demonstrating integrity.

Moreover, we also expect the following:

  • Degree in Human Resources, Social/Political Sciences, International development/relations or other relevant fields from an accredited academic institution
  • Minimum 2 years of experience with human resource management including experience with staff welfare, in particular for remote staff deployed to the field (NGOs and the UN)
  • Experience with training preparation and facilitation
  • Experience with financial management, invoicing and financial donor reporting
  • Flair for and interest in working with advanced software systems (ERP system and tailormade deployment database)
  • Ability to work in a multicultural environment
  • Excellent English oral and writing skills
  • A systematic mindset and good attention to detail
  • The ability to work under time pressure with many simultaneous tasks

We offer

Contract length: Approximately 14 months from start November until 31 December 2023 with a possibility of extension depending on funding and tasks across the team.

Workplace: DRC HQ, Borgergade 10, DK-1300 Copenhagen K

Start date: 1st November 2022 or as soon as possible thereafter.

Salary and conditions will be in accordance with the agreement between DRC and AC at “fuldmægtig” level. This is a national position for which local terms and conditions apply.
