If that sounds like you, we have an exciting opportunity for you to join the Chartering team as the Executive Assistant to the head of our function.

The Chartering function in Maersk is within our Global Fleet management and technology team and is a global team of 35 employees based in Copenhagen, India, China and Japan. Working as an EA of the Head the Chartering tam offers a great opportunity to interact with our colleagues, help us create a fun and engaging environment while providing excellent administrative support and be part of various tasks and projects across the entire function.

Key responsibilities

The main objective of the role is to provide an excellent and timely administrative assistance while contributing to the engagement in the Leadership and broader Chartering team

Your key responsibilities will include:

  • Handle the calendar management for our head of Chartering, planning for proactive impact while being able to prioritize, respond and address any potential issues that may come up on a day-to-day basis. Be part of various meetings including the weekly Leadership Team meetings and pro-actively keep track on all actions and manage the agenda of the meeting
  • Plan off-sites and periodic meetings both for the Leadership Team and overall function
  • Handle travel management for Head of Chartering (including visa, bookings, coordinating schedule at destination and travel expense management)
  • Support onboarding and offboarding for team members and become the go-to expert for various kinds of questions
  • Build your internal network within our EA community to ensure you’re always up-to-date related to internal activities, policies and procedures, and proactively share relevant information with colleagues
  • Take part in different assignments and projects, prepare communication, share materials and coordinate the different activities within the function
  • Support on approval process for invoices and ensure all necessary Service Level Agreements are valid and in place

  • Have a structured way of working and the ability to juggle multiple balls in the air without losing the overview
  • Have high energy and is great at building rapport with other stakeholders
  • Prior experience from similar roles in a large and/or international organization is an advantage, but you can also be less experienced with a business school background wanting to test your talent in a dynamic and fun environment.
  • Have impeccable English and you are tech savvy with MS Office
