This exciting role provides opportunity to be a partner to the Chief Procurement Officer. Are you self-driven, organized, with a keen eye for detail and like working in parallel on a multitude of tasks and projects in an international environment, than joining the Maersk Procurement team as Executive Assistant might be the right fit for you!

The Maersk procurement organization supports all parts of AP Moller – Maersk and APM Terminals and has around 900 team members around the world. This role offers you a unique opportunity to get deep insights to the procurement Engine-room of A. P. Moller Maersk, from applying your support with day-to-day practical matters, to supporting meetings, creating materials and co-run projects. You are the spider in the web, have a strategic mindset and can handle information with discretion, tact and professionalism.

The Executive Assistant will be part of MPRO Leadership Team and will attend all leadership meetings which will give a unique opportunity to understand the strategic direction.

Key responsibilities

The supported business area is high speed and complex and the main objective of the role is to provide second-to-none support to the CPO and making sure everything runs smoothly as well as ensuring a timely flow of communication and action.

Your key responsibilities will include:

  • Planning and coordinating the calendar. Further, to be able to maintain a daily changing calendar with discretion and handle urgent enquiries the best possible ways as well as following up appropriately with daily interactions

  • Email: priority setting and follow up, making sure that all is on time/well attended to

  • Working closely and effectively with the CPO and her Leadership Team being well informed f upcoming commitments and responsibilities and following up appropriately with daily interactions

  • Being a great team ambassador and ensuring a trust-worthy relationship with the manager, leadership team, team members and other key stakeholders in the organization

  • Travel management, including planning (e.g., visa) and booking for the CPO as well as expenses

  • Support on approval process for invoices and other administrative processes incl. budget follow-up

  • Planning and organization of Townhalls, off-sites and social gatherings

  • Resolution of day-to-day practical issues and queries including coordination with IT Service Desk and HR

  • Supporting on- and off-boardings for new team members and leavers

  • Keeping up to date on and ensuring department compliance with internal policies
    Following up on team engagement and ensure actions are being followed


We are looking for

An experienced professional with a high degree of self-motivation and a proactive drive to ensure a smooth operation within the Maersk Procurement Leadership team

As a person you are:

  • Structured, pro-active, organized, process and service-oriented with an eye for optimization

  • Trustworthy, loyal and with a strong sense for diplomacy and confidentiality

  • A team player who understands the importance of supporting your manager and the team, but who also stands-up when /where needed

  • Able to handle multiple issues at the same time and efficiently prioritize your workload

  • Professional, with strong communication skills, able to interact with all internal and external colleagues

  • You are energized and motivated by having to juggle the various demands of a fast-paced, ambiguous, and culturally versatile business environment

  • Not always knowing what the day will bring, you are quick to adjust, thus being a reliable administrative backbone of the department

  • You probably hold a bachelor’s degree or equivalent and have work experience from a large international company

  • Your written and spoken English is impeccable and you are tech savvy with MS Office incl. Power Point. Fluency in Danish is a plus. The CPO is non-Danish speaking
