Key Responsibilities

As an Executive Assistant, your priority is to provide proactive, seamless and effective support for the Vice President, Head of Accounting, GRC (Governance, Risk & Control) and Finance Global Process Lead and his leadership team.

You will have the following key responsibilities, amongst others:

  • Calendar management

  • Update and maintain organizational charts

  • Update and maintain Share Point sites for leadership teams

  • Expense management for the Leadership Team and serve as go-to expert on the same for the department

  • Travel management, including planning (e.g. visa) and booking for the Leadership Team, and serve as go-to expert for the department

  • Preparing material for executive meetings

  • Support with managing deliverables for Audit Committee meetings. This includes managing timelines for submission and governing that deliverables are prepared using agreed templates.

  • Preparation of documents and presentations. Examples includes strategic roadmaps used for monitoring strategy execution and presentations for townhalls, conferences and workshops.

  • Event management of townhalls, conferences, meetings, workshops and social gatherings

  • Keeping up-to-date on and ensuring department compliance with internal policies

  • Resolution of day-to-day practical issues and queries including coordination with IT Service Desk and HR Support

  • On-boarding of employees

  • Coordination of internal moves and seating plans

  • Support on approval process for invoices and other administrative processes

  • Responsible for ensuring office supplies are available and point of contact for Facility Management


More about the team/portfolio you will support:

Close to 200 employees located in Denmark, Netherlands, India, Philippines and China. In addition, teams are supported by close to 1,000 colleagues in our Global Service Centers in India, Philippines, China and Mexico.

Team is responsible for:

  • External Reporting – consolidated financials at group and segment level. This includes the increased integrated reporting obligations as a result of the increasing ESG reporting requirements.

  • Accounting Transformation - Designing, implementing and governing Global Accounting to Reporting process improvements with embedded controls, applications, data and job roles.

  • Global Process Lead for Finance - Setting a process vision and building a strategic roadmap for Finance including designing, implementing and rolling out new processes and applications.

  • Governance, risk and controls - Owning and driving a risk focused internal control framework with risk and fit for purpose controls designed in collaboration with and owned by process owners.

  • Coordinating and maintaining the relationship with the external auditor & audit committee.

  • Accounting M&A activities relating to due diligence and integration activities.


Prior experience with any of these areas is not a requirement.

As a person you are service minded, high spirited, and persistent, you are able to prioritize and take pride that all tasks are delivered and at high quality.

  • Prior experience as an assistant or secretary in a large and/or international organization is an advantage

  • Tech savvy with both MS Office (Excel, PowerPoint and Outlook) and conference room equipment.

  • Excellent planning, communication & organizational skills

  • Service minded and able to manage multiple priorities and shifting demands

  • Strong verbal and written communication skills (English)
