Executive Assistant – Head of Reception at Polaris Private Equity

Join a unique team
You will become part of our Back Office team. The Back Office team consist of our Finance department, our Office Assistant and you. You will refer to our CFO and Managing Partner.
A mix between individual responsibility for assignments, teamwork and ad hoc challenges
As our Executive Assistant you will work as the PA for our Managing Partner and be responsible for a series of tasks as well as in some areas working closely with the rest of the Back Office team and our Investor Relation.

As our Executive Assistant you will work as the PA for our Managing Partner and be responsible for a series of tasks as well as in some areas working closely with the rest of the Back Office team and our Investor Relation.
Your tasks will include:
- Manage professional and personal scheduling for our Managing Partner, including agendas, mail, email, phone calls and other company logistics
- Coordinate scheduling and calendar management
- Welcoming our guests in the reception
- Handling and coordinating meetings including arranging coffee and/or lunch with assistance from our Office Assistant
- Handling our lunch arrangements on daily basis with assistance from our Office Assistant
- Maintain professionalism and strict confidentiality with all materials
- Organize team communications and plan events, both internal and off-site
- Preparing our presentations material
- Managing supplier agreements such as office supplies, lunch arrangement, cleaning agreement etc.
- Cooperation and coordination in relation to Polaris’ portfolio companies at certain events
- Managing our telephony and telephone setting
- Participating in the onboarding of new employees
- Managing some employee arrangements and benefits
Our ideal candidate possesses the following competences:
- Strong communication skills, both written and oral, in Danish and English
- Organized and structured with attention to detail
- Ability to prioritize
- Proactive and good at planning several steps ahead
- Solution-oriented
- Possess digital skills with an aptitude for learning new software and systems
- Flexible team player, willing to adapt to changes and unafraid of challenges
- An early riser – sometimes we arrange meetings at 7:30 o’clock
- Four or more years of experience in a related role (executive/personal assistant or office manager)
