The Danish Refugee Council (DRC) is looking for 2 Administrative Grants Specialist (AGS) who will join the Division of Africa and Americas in the International Department at HQ in Copenhagen. The AGS will support and be part of processes related to administration and grants management. Full proficiency in spoken and written French OR Spanish is required.

Main tasks and responsibilities

The AGS is having the primary focus on grants management, administration and compliance to donor guidelines for proposals and reports submitted from HQ providing quality assurance of proposals and reports submitted from HQ. The AGS ensures coordination and finalization of submission packages for reports and proposals that are to be submitted from HQ, which requires knowledge of numerous donor portals. In coordination with relevant regional colleagues, the AGS keeps track of reporting deadlines and supports and/or coordinates timely submission to HQ for review/submission of reports, modifications and proposals submitted from HQ. The AGS is the superuser of the grant module in DRC Dynamics and ensures that grants in Dynamics are created, updated and completed.

The AGS supports in translating and applying global grants policies and procedures to the Country Offices (COs) and Regional Offices (ROs) within his/her designated region. The AGS is expected to engage in promoting learning across regions and units/ divisions. The AGS works closely with relevant colleagues in the Finance Department. The AGS is likewise expected to engage in HQ initiatives contributing to the contextual knowledge from the COs and ROs when relevant.

More specifically, the AGS will be

  • Available to train and assist regional colleagues in the Grants Module for DRC Dynamics.

  • Maintain a general knowledge of the country operations and their grant management capacity.
  • Promote and help ensure that communication with donors, particularly related to grants, is timely, compliant and characterised by high quality.
  • Accountable for quality control of donor compliance for proposals and reports that are submitted from HQ, provided documents are received within agreed timeline from COs.
  • Expected to engage in regional planning in coordination with relevant regional staff and task allocation on all matters related to grants administration.
  • Responsible for ad hoc administrative tasks (such as authorisations and legalisations) and for related requests coming from COs/ROs.
  • Contribute to quality assurances in collaboration with in-country and HQ team members.

The successful candidate will be part of the Division for Africa and Americas consisting of 10 colleagues working with the 18 country operations and three regions in Africa, as well as DRCs operation in Colombia and Venezuela. The AGS may be required to travel 2-3 times a year.

Profile and qualifications

You are a flexible and team-oriented colleague able to handle – at times – intense work pressure, tight deadlines and ad-hoc demands. Towards the field, you have a service-minded approach and you are keen to build strong working relations, while at the same time being pro-active and persistent in our shared pursuit for high level of quality and compliance. Your experience allows you to take initiative and operate with a high degree of independence.

Specific qualifications

  • At least 3 years of full-time employment applying tasks related to the above
  • Full proficiency in spoken and written English is required. Full proficiency in spoken and written French OR Spanish is required
  • Experience with project management and especially working with grants management is considered an advantage.
  • Experience from working with a humanitarian INGO and/or in a similar position based in the field, is considered an advantage.
  • Experience with administration and practical tasks that make the office run smoothly.
  • Practical experience with planning, developing and facilitating the application of procedures and compliance.
  • Ability to plan, co-ordinate and lead processes that include multiple stakeholders and interests
  • Systematic approach to work, and attention to details
  • Responsible, independent, service minded and show initiative
  • Positive attitude and a desire to be part of a small, dynamic and busy team.

Terms:

  • Start date: As soon as possible
  • Duration: Permanent position
  • Work hours: Full time
  • Salary terms are in accordance with the agreement between DRC and AC union. This is a national position for which local terms and conditions apply (relocation or housing allowance is not offered for this role).
  • Workplace will be at DRC headquarters at Borgergade 10, 1300 CPH K. Please note that you need to have the right to work in Denmark (through nationality or existing work visa) in order to be considered for this role.
