Danish Refugee Council (DRC), one of the world’s leading humanitarian NGOs, is looking for an ambitious and versatile colleague with a strong background and interest in grants administration, coordination of administrative/financial issues and communication/info management. You will to contribute to developing DRC’s presence in Europe and our position as a key actor in providing responses to the displacement challenges in the EU and its neighboring countries.

You will join the DRC Europe Regional Office (RO), consisting of a Regional Director and three additional colleagues. Our responsibilities relate primarily to strategy, programming, operations, risk management and compliance for DRC’s country offices in Bosnia-Herzegovina, Georgia, Greece, Italy, Kosovo, Serbia and Ukraine.

You will report to the Regional Director.

Main tasks and responsibilities

Grants/contract administration

  • Administrative support to proposal-writing and reporting
  • Contract and report management
  • Coordination regarding set-up of new grants/contracts
  • Contribute to check of donor compliance
  • Maintenance of DRC’s grants management system (ERP/Microsoft Dynamics) in relation to the country operations
  • Co-ordination of grants overviews
  • Co-ordination of communication with key donors
  • Co-ordination with other grants stakeholders inside DRC
  • Co-ordination in relation to grants from DRC’s own funds

Admin

  • Administrative support to the RO Europe Team (e.g. travel, meetings etc.)
  • Tasks in relation to legalisation activities, powers of attorney etc.
  • Administration in regard to expenses settlements etc.
  • Coordination of consultancy contracts

Finance

  • Support to budgeting and budget follow-up
  • Coordination with controller and accountants in DRC’s Finance Dept.

  • Support to audit processes
  • Processing of invoices related to regional and country offices

Communication and info management

  • Update of relevant websites and intranet pages
  • Focal point for interaction with DRC’s Communications Dept.
  • Focal point for administration and coordination of ERP/Microsoft Dynamics initiatives, trainings and other roll-out processes
  • Administration of info management systems for the RO (filing etc.)

Fundraising

  • Mapping and identification of new funding opportunities for country offices and RO
  • Coordination with Fundraising Department on e.g. mass appeals, private foundations

Your profile and key qualifications

You are a flexible and team-oriented colleague and a fast learner. You are able to handle at times intense work pressure, tight deadlines and ad hoc demands. You have a service-minded approach towards the country offices who are among your primary interlocutors. You are keen to build strong working relations, while at the same time being pro-active and persistent in pursuit of a high level of quality and compliance. Your experience allows you to take initiative and operate with a high degree of independence. Experience from working with a humanitarian INGO and/or in a similar position based in the field may be an advantage.

You have:

  • Proven experience with and interest in grants administration
  • Proven experience from office administration, process coordination and dealing with compliance issues
  • Experience with participating in financial processes
  • Proven experience and skills in relation to communication and info management tasks
  • The ability to participate in and co-ordinate processes that include a wide range of stakeholders with often vastly different backgrounds and expectations
  • Systematic approach to work and attention to details
  • Excellent team-working skills
  • Fluency in oral and written English

We offer

Start: Mid-April 2020, or as soon as possible thereafter
Duration: Permanent position
Work hours: Full time
Salary and conditions: In accordance with the agreement between DRC and AC organisations.
Workplace: DRC headquarters at Borgergade 10 – central Copenhagen. Some travel may be expected (approx. twice a year).
