Proactive Personal Assistant with excellent business understanding

Are you the assistant that can help our CFO, Lars Larsen, optimize his time? With your past experience in supporting C-level executives, your high degree of self-motivation, good judgement and excellent understanding of business you will help our CFO and his closest team optimize, prioritize and drive tasks across the finishing line.

We are looking for a Personal Assistant to assist our Chief Financial Officer (CFO) with a broad range of administrative tasks that will enable him and his closest team to work smarter and more efficiently. Based on your previous experience and your good knowledge of software tools you will help the CFO and his global Business Support leadership team optimize and prioritize the tasks at hand. To be successful in this role you’ll need to thrive in a constantly changing, dynamic, fun, diverse and truly international environment.

The role

Key tasks will include, but not be limited to:

  • Your primary focus will be on classifying and prioritizing the CFO’s emails and structure these with the help of different software tools.
  • Manage and coordinate the CFO’s very dynamic calendar with diplomacy and confidentiality. You will ensure his schedule is constantly up-to-date, that important items are prioritized, and any conflicts resolved in due time.
  • Act as point of contact for internal and external stakeholders
  • Ensure CFO is well prepared for meetings; Prepare meeting material, take minutes, proofread, etc.
  • Create follow ups after meetings with next steps you execute on or align with the appropriate team members
  • Assist in cross departmental projects and help steer processes and based on your previous experience, advise on best practices
  • Book travel, accommodation, and restaurants
  • Arrange and coordinate logistics for in-house and external meetings, conferences, and other events
  • Internal coordination and alignment between the CFO management team and other departments
  • Expense reporting
  • Other ad hoc tasks

What do you need to have to apply?

  • 5+ years of PA/administrative experience in supporting executives
  • Experience in working in a fast moving and growing organization is a plus
  • Proactive approach to problem-solving with good judgement and decision-making ability
  • Ability to deal with ambiguity and reprioritize tasks whenever priorities change
  • Experience with international travel coordination
  • Ability to maintain the highest level of internal and external confidentiality
  • Ability to manage up, follow up and follow through
  • Ability to work both independently and in a team setting
  • Fluent in Danish and English, both written and oral
  • Superuser of Microsoft Office, including Outlook, Word, Excel, and PowerPoint and up to date with latest office gadgets and software applications
  • Strong organizational and time management skills with ability to perform and prioritize multiple tasks simultaneously
  • Attention to detail and accuracy
  • High degree of self-motivation, ability to multitask and prioritize daily workload

This role calls for a service minded person, with a positive mindset, lots of initiative, and a proactive can-do attitude. We are looking for someone who thrives in an international, fast-paced environment where excellent stakeholder management is key. You have a structured way of working and master the art of juggling several tasks at simultaneously, while maintaining the grand overview. You are a strong communicator with excellent interpersonal skills. You will also be working closely with our team of C-suite PAs and assistants, some based in our head office and others across the globe.
