About the job:

The Personal Assistant & Event Coordinator will report to the Chief Sales Officer (CSO). This role requires strong collaboration and communication skills, superior organizational skills, great attention to detail, the ability to meet tight deadlines, and strength in navigating and juggling multiple priorities. Respect, integrity and discretion in handling confidential information, and professionalism in dealing with people inside and outside the company is extremely important.

We are looking for a highly energetic and flexible candidate who will manage the day-to-day administrative responsibilities for Saxo’s CSO and CEO for the Nordic region such as: calendar management, booking travel, organizing expenses, project management, and event planning for external clients and execution.

As the right-hand to the CSO, the Personal Assistant will operate with the utmost discretion while working with highly confidential information, ensuring impeccable attention to detail, organizational skills and thoroughness. In constant communication with both internal leadership as well as external partners and clients, the Personal Assistant will represent the CSO with professionalism, a positive spirit and a high-level of service.

Responsibilities:

The key responsibility of the Personal Assistant is to provide timely, personalized and high-quality support to the CSO and the CEO for the Nordic region by being flexible and available with an open and positive yet firm service mindset.

The role requires management of confidential business and personnel information and includes profound knowledge of the organisation (i.e., financial processes, authorisation processes etc.).

Your overall responsibilities include - but are not limited to the following:

  • Provide strong secretarial support covering all traditional areas of a PA role

  • Engaging with many different stakeholders in and outside the company and building relationships at all levels in the organisation

  • Schedule/coordinate meetings, calendars, and travel arrangements

  • On some occasions edit, proofread, format, and produce documents

  • Enter data and file/archive paper/electronic documents

  • Support production of material for meetings and coordinate deliveries of materials, presentations etc. for different meetings

  • Obtain and organise information for use in conferences, speeches, and reports as requested by the CSO


Furthermore, as this is a split role you will be the driver behind event relations in the Nordic region both physical and online, logistical coordination, and special projects. This includes, but is not limited to:

  • Own the coordination, logistics, budgets and direction for events.

  • Proactively drives actions needed to ensure event outcomes (e.g., developing workback schedule, checkpoints leading up to an event).

  • Acts as a point of contact for events (e.g., changes). Collaborates and coordinates with stakeholders to set up events, as needed, and manages supplier and business relationships end to end.

  • Engages in post event close out (e.g., tracking event results/attendance. Distributing post-meeting materials) in partnership with team members. Identifies learnings and suggests best practices for future events.

You enjoy providing structure and overview and you have a strong sense of delivering high quality work. You understand the importance of making life as easy as possible for a very busy executive. Thus, a strong sense of service and availability are also in high demand.

More specifically:

  • 5+ years’ experience from a similar role

  • You are bilingual, i.e., fully fluent in written and spoken Danish and English

  • Ability to take ownership of the executive’s agenda/schedule (manage/control the access to the executives’ calendars)

  • Extremely organised with an eye for details

  • Documented experience from a relevant or similar role

  • Strong communication, collaboration and execution skills

  • Discretion and trustworthiness as you will have access to confidential information

  • Being ahead of the curve and proactive

  • Strong ability to work independently and structured
