Executive Secretary to ECCO Holding – Bredebro


For the Executive Management team in ECCO Holding, we are looking for an experienced Executive Secretary to manage planning and coordination of meetings, travel arrangements, calendar management, communication to and with various internal and external stakeholders, and a wide range of other tasks, independent as well as in close cooperation with the Executive Management team.

For you who thrive in working closely with and supporting executives and having a broad scope of responsibilities, it will be an interesting job. Your working days will be diverse and include interaction with a wide range of ECCO’s companies.

Workplace will be in Bredebro, with the expectation to be in the office most days, and there will be very limited travelling.

The job


In the role, you will collaborate closely with and report to the Lead Executive Secretary, who supports the Managing Director, and together, you will ensure that your colleagues across ECCO Holding, and the Executive Management team in particular, experience a smooth and well-organised working day and agenda.

The job includes the ECCO Foundation with their annual donations, where you will read, summarise, and present the applications to the Board and ensure all applications receive feedback.

Your secretarial tasks will include:

  • Support the Lead Executive Secretary with the administration and preparation of the Managing Director’s agenda, travels, assignments, and ad hoc tasks as defined by the MD.
  • Transcribe and revise documentation including, but not limited to, drafts, proofreads internal and external, e.g. of Annual Reports, correspondence, memos, flyers, agendas, meeting minutes, policies etc.

  • Participate in preparing the overall Annual Wheel and main calendar incl. internal information to relevant stakeholders, invitations, etc.
  • Prepare meetings (agenda, invitations, meeting material, catering, rooms, and more) and follow-up.
  • Management of and upload to the Board portal Diligent for all subsidiaries and business units.

  • Coordinate corporate travel for the key stakeholders (itineraries, hotels, transport, prepare programme, or liaise with local business unit/host where required), other practicalities incl. visa applications etc.

  • Various ad hoc support to the Holding CEO (company car (service, etc.), greetings, passport, various memberships, etc.).
  • Various other ad hoc tasks.

The person


You are an experienced and mature person, who can navigate at an executive level and with a high degree of discretion and confidentiality. You are recognised as a proactive person, who can manage multiple tasks, who gets things done with high quality, and who at the same time focuses on making sure things are in order. It is natural for you to take ownership and deliver with high diligence. The days are rarely the same, and you find satisfaction in being service-oriented and giving others a well-planned day, a well-planned meeting etc.

Your professional experience includes more than 5-10 years’ experience as a PA, EA, or Secretary for senior managers, where you have gained experience with the following tasks:

  • Strong and proven qualifications in communication in Danish and business English.
  • Experience with equivalent tasks such as managing emails and calendars, coordinating meetings, preparing PP presentations, making travel arrangements and more.
  • A good business understanding. In general, it is important for you to understand the business in which you operate.
  • Good familiarity with IT and an experienced user of the Microsoft Office suite.
  • Academic credentials on bachelor’s level.
