We are looking for a Financial Coordinator to join our Copenhagen office. This is an exciting position, providing financial and administrative support to the Denmark Group. You would become part of the Denmark Business Services team, and a member of the Europe Finance Network, with 30 staff across 8 countries. You would report directly to the Denmark Commercial Leader and Europe CFO.

You will manage the Finance processes from start to end including, preparing the annual financial plan, producing monthly finance reports, reviewing policies and processes, monitoring costs, and coordinating with the Project Directors and Managers. The specific tasks are:

Your responsibilities
You will manage the Finance processes from start to end including, preparing the annual financial plan, producing monthly finance reports, reviewing policies and processes, monitoring costs, and coordinating with the Project Directors and Managers. The specific tasks are:
- Prepare the Annual Business (Financial) Plan, High Level Targets, Outturn financial projection and Overheads budgets, involving consultation with budget holders, and the Commercial and Group Leader.
- Communicate monthly invoicing targets and work with Project Managers to update these.
- Attend regular Europe Finance Leaders meetings as Denmark Group representative.
- Attend regular Europe Finance training events.
- Carry out project reviews with Project Directors and Managers to ensure forecasts are updated.
- Provide and interpret financial information for PMs, Leaders.
- Review pre-close results with the Commercial Manager each month.
- Prepare and present the Financial report at the Monthly Commercial and Leadership meetings. Highlight key issues and agree actions and appropriate timescales.
- Attend project and bid review meetings.
- Check non-billable job number and office and staff overhead spend monthly.
- Assist with monitoring the financial performance of projects, including income against costs, WIP and cashflow.
- Prepare fee invoices, ensuring timely and accurate invoicing to clients. Assist with ensuring monthly invoicing and cash collection targets are met.
- Ensure correct VAT rules are used to determine VAT level on fee invoices.
- Assist staff with using Arup systems, e.g., electronic expenses & timesheet submission.
- Maintain accurate information in financial systems, including CRM and project accounting.
- Review weekly payment run including supplier and staff expense payments that are processed through Concur.
- Review the way in which existing finance systems (and relevant policies) are used and identify opportunities for improvement.
- Develop and deliver local finance training in relation to financial fundamentals, financial and commercial aspects of the bid process, and managing and monitoring Project financials.
- Assist Bid Directors to ensure that bidding protocols are followed, provide commercial and financial information including charge-out or cost rates, and assist in developing the pricing strategy.
- Work closely with HR and Business Services team, Shared Service Centre, and Regional Finance.
- Coordinate with the relevant Global Finance teams when required.
Your technical and personal competences
You are flexible and a team player who enjoys working in a vibrant international environment. You are keen on taking on the responsibility, and you meet the following requirements:
- A degree in Finance, Business, or Accounting.
- Previous experience with performing successfully in a financial administrative role, minimum of 5 years.
- Advanced knowledge of Microsoft Excel, Word, PowerPoint, and basic knowledge of PowerBI.
- Good knowledge of standard finance processes / procedures and systems.
- Attention to detail, with ability to see the big picture.
- Proactive approach, with the ability to anticipate and pre-empt problems and identify improvement opportunities.
- Good analytical skills, with the ability to challenge and explain financial information, systems, and processes.
- Able to work independently and plan workload with minimum supervision.
- Ability to work under pressure and meet strict deadlines.
- Excellent planning, organisational and time management skills.
- Ability to speak/write Danish is a plus.
