Reporting into the Head of Business Platforms, the position as Executive Assistant offers a unique opportunity to apply your administrative skills in supporting with day-to-day practical matters, be a sparring partner to the Department Head and be in charge of administrative processes.

The Business Platforms team is focused on building and implementing digital products for customers in and outside our company, and we are dedicated to scale up the organization with world-class capabilities in this area. The Executive Assistant will be part of the Platforms Leadership Team and will attend all leadership meetings which will give a unique opportunity to understand goals and direction. On top of joining the Platforms team, the Executive Assistant will be part of a large EA community at Maersk, a community with personal development, training and learning sessions in focus.

Key responsibilities


The main objective of the role is to provide second-to-none administrative support by maintaining an overview of the manager’s needs and making sure his day runs smoothly. Your key responsibilities will include:
• Being able to maintain a daily changing calendar with discretion and handle urgent enquiries in the best possible way.

• Planning, coordinating and ensuring the calendar is followed and respected.

• Working closely and effectively with the manager being well informed of upcoming commitments and responsibilities and following up appropriately with daily interactions.

• Being a great partner to the leadership team as you will work closely and effectively with the team on various projects and tasks to understand goals and the direction. Also, you will be in charge of ensuring all pre-read material and meeting actions are being sent out in the right timeframe.

• Continuing to drive a strong partnership with key stakeholders in the organization

• Supporting recruitment and HR with developing on-boarding and off-boarding procedures for new team members, new leaders and leavers.

• Planning and organizing all Platforms events, both internal and external

• Preparing and submitting expense reports for manager

• Ensuring leadership team SharePoint site is maintained at all times with updates and important documents

• Being e a great team ambassador and ensuring a trust-worthy relationship with the manager, leadership team, HR and other key stakeholders in the organization

We are looking for


A candidate with a high degree of self-motivation and a proactive drive to ensure a smooth run within the team.
As a person you are:
• A professional with 5-10 years of experience as an EA
• Used to supporting a C-level leader in a large global company
• Outgoing, diplomatic and service-minded
• Structured, organized and process-oriented with an eye for optimization
• A team player who understands the importance of supporting your manager and team
• Able to keep calm and maintain a high level of service in stressful situations
• Able to handle multiple issues at the same time and efficiently prioritize your workload
• Professional with strong communication skills, able to interact with all internal and external colleagues

You are motivated by having to juggle the various demands of a fast paced, ambiguous and culturally versatile business environment. Not always knowing what the day will bring, you are quick to adjust, thus being a reliable administrative backbone of the department.

You probably hold a bachelor’s degree or an equivalent combination of education and several years of relevant work experience – preferably in a digital environment such as a software or digital company.

Your written and spoken English and Danish is impeccable. You are fluent in Microsoft Office and preferably have some experience in SharePoint.
