As an Executive Assistant, your priority is to provide proactive, seamless, and effective support for the two Vice Presidents, Head of Tax and Head of Reporting & Accounting and their respective leadership teams.
You will have the following key responsibilities, amongst others:
- Calendar management for both Head of Tax and Head of Reporting & Accounting
- Update and maintain organizational charts
- Update and maintain Share Point sites for Tax and Accounting
- Expense management for the Leadership Team and serve as go-to expert on the same for the department
- Travel management, including planning (e.g. visa) and booking for Head of Tax and Head of Reporting & Accounting, and serve as go-to expert for the department
- Support with managing deliverables for the Audit Committee
- Preparation of documents and presentations
- Preparing material for executive meetings
- Keeping up-to-date on and ensuring department compliance with internal policies
- Resolution of day-to-day practical issues and queries including coordination with IT Service Desk and HR Support for both Head of Tax and Head of Reporting & Accounting
- On-boarding and off-boarding of employees
- Coordination of internal moves and seating plans
- Event management of townhalls, conferences, meetings, workshops and social gatherings
- Support on approval process for invoices and other administrative processes
- Responsible for ensuring office supplies are available and point of contact for Facility Management

• Strong verbal and written communication skills (English)
