Working with our Vice President, Head of Corporate Communication and Sustainability, offers a unique opportunity to be in the middle of the engine room of our internal and external communication, branding and sustainability. We expect you to be effective in handling the administrative tasks supporting with day-to-day business allowing you to support the Vice President and her management team on strategy definition, execution and driving own projects.

Key responsibilities

The main objective of the role is to provide second-to-none administrative assistance, actively contribute to the management team’s success and be the go-to sparring partner for the Head of Corporate Communication and Sustainability.

Your key responsibilities will include:

• Proactive calendar management: Handling day-to-day changing calendar with discretion, while taking care of urgent enquiries and making sure the Vice President’s time is prioritized correctly.

• Effective inbox management: drafting and answering emails on behalf of the Vice President, flagging matters that require urgent attention and archiving emails.

• Planning and coordinating the annual calendar for the department and the management team, keeping track of to-do lists, agendas and memos for the management and department meetings. Coordinating internal change projects.

• Travel arrangements for the VP and external guests.
• Planning and coordinating internal conferences, offsites and social gatherings.

• Support onboarding and offboarding for team members and become the go-to expert for our teams for various kinds of questions.
• Build your internal network within our EA community to ensure you’re always up-to-date related to internal policies and procedures.

• Have a high degree of self-motivation and proactive drive;

• Work in a structured way and have the ability to juggle multiple balls in the air without losing the overview;

• Have high energy and a positive mindset towards all kinds of tasks

• Have prior experience from similar roles in a large and/or international organization

• Have impeccable English language skills and you are tech savvy with MS Office
