The Embassy of Slovenia in Copenhagen has a vacancy for a Personal Assistant to
the Ambassador. The Embassy is looking for a colleague with an excellent planning,
organizational and language skills.
Position: Personal Assistant to the Ambassador (Administrative Assistant of the
Embassy)
Type of employment: 39 hours/week on a local contract
Tentative starting date: As soon as possible
Location: Embassy of Slovenia, Amaliegade 6, 1256 Copenhagen
Deadline for application: 31 December 2023
Under the supervision of the Ambassador and in close cooperation with other
diplomats of the Embassy, Personal Assistant to the Ambassador will be responsible
for:
- Managing the Ambassador’s diary by actively making in-person and virtual
(audio/video) appointments and responding to invitations.
- Making travel arrangements, including airline tickets and hotels reservations
and liaising with the Embassy’s driver over precise locations and journey
times.
- Liaising with other Embassy staff about calls required and necessary briefings
and papers.
- Dealing with phone calls and e-mail requests and enquiries on behalf of the
Ambassador and the Embassy.
- Drafting simple letters.
- Event management: managing guest lists including for major events (200+
invitations) and working on other aspects of events such as catering
requirements.
- Devising and maintaining office systems, including a contacts database,
accounts and budget management.
- Other ad hoc tasks for the Embassy team.
We are looking for a colleague with the following qualifications:
- University degree and preferably 2 years work experience in a similar role.
- Excellent written and oral communication skills in English and Danish (a native
Danish speaker would be preferable). Knowledge of other Nordic languages
will be considered an advantage. Knowledge of Slovenian language will be
considered a great advantage. In the absence of a high level of Danish, we will
take (native) Swedish or Norwegian into account.
- Great organisational and planning skills with consistent attention to detail and
the ability to perform well under pressure.
- Ability to work independently, effectively and flexibly as part of a small team.
- Strong communication and interpersonal skills as well as personal integrity
and confidentiality.
- Excellent IT skills (Word, Excel, basic SoME skills).
Employment conditions:
- The position is full-time, permanent, 39 hours/week including 30 minutes paid
lunch break. Local contract based on relevant legally binding Danish labour
market rules
- 5 weeks (up to 6 weeks) paid holiday per year
- Your salary will reflect your qualifications, relevant experience and proven
work-related results. Starting monthly salary aprox. 27.000-30.000 DKK.
