Executive Assistant to Vice President and Senior Directors (maternity cover)
Fixed Term Contract until March 2025

About the role:
The VP and Head of Transported by Maersk Solutions is currently looking for an Executive Assistant to support him and the Senior Directors in the leadership team with tasks such as driving the leadership meeting agenda, following up on actions and conclusions and team administration tassk – e.g. preparation of Townhall material etc. This role is pivotal in ensuring the smooth operation of our leadership team's activities and engagements.
We are seeking an experienced, energetic and well-organized Executive Assistant, who will serve as the right hand to the VP, and keep track of his whereabouts, functional agenda and expenses. Teamwork and collaboration are key elements in your approach to work.
As an Executive Assistant in Maersk you will be responsible for a wide range of tasks, including but not limited to:
Support to the Head of Transported by Maersk Solutions:
- Administration support: Support with general administration, Workday delegation, expense management, calendar management, expenses and general support to ensure the days runs as smoothly as possible
- Travel arrangement: Manage and book travels for the leader while ensuring compliance to travel policy and cost-consciousness.
Support to Senior Directors:
- Provide administrative support to three Senior Directors, focusing on expenses, travel arrangements, and offsite bookings
Offsite Meetings for the Leadership Team:
- Coordinate and organize offsite meetings, including agenda creation, location scouting, and catering arrangements
- Ensure all logistical aspects are handled seamlessly, allowing the leadership team to focus on strategic discussions
Collaboration with HR:
- Work closely with the HR department to align on initiatives and support HR-related activities
- Assist in organizing team-building events, workshops, and training sessions.
Weekly Friday Debrief:
- Plan and run the agenda for the weekly Friday debrief meetings for the broader team
Quarterly Friday Bars:
- Organize and coordinate quarterly Friday bar events outside the office to foster team camaraderie
Yearly Team Days:
- Plan and execute annual team days for the broader team.

- An exceptional ability to organize and align management agenda, calendars, and ways of working
- Excellent communication skills and interpersonal abilities
- Ability to handle highly confidential information accordingly
- Strong problem-solving skills and can-do attitude
- Proactive and detail oriented
- Advanced skills within the Microsoft office suite
- Fluency in English (writing and verbal/oral)
- Valid EU work permit
