ICARS is looking for an Executive Administrative Assistant with an interest in international cooperation
Are you a skilled Administrative Assistant with interest in and experience from international cooperation? Would you like to help secure effective administration in a new institution cooperating internationally? Then you may be our new Executive Administrative Assistant.

About ICARS
The International Centre for Antimicrobial Resistance Solutions (ICARS) is a new organization with a mission to develop evidence-based solutions to mitigate antimicrobial resistance (AMR) in low- and middle-income countries. Working in partnership with low- and middle-income countries, ICARS use intervention and implementation research to support the countries in implementing their National Action Plans. ICARS is a self-governing organization obliged to follow many of the rules and regulations for the Danish Public Sector.

About the position
As an experienced Administrative Assistant, you will provide ongoing administrative support to both ICARS operational team and science team and thus undertake a broad range of tasks. You will report to the Director of Operations.

Your main tasks

  • Making travel arrangements and travel accounts for ICARS staff and participants in ICARS seminars
  • Organisation of meetings and events as well as writing of minutes from these meetings
  • Being super user in the electronic archiving system Public360 and the time registration Mtime (training will be provided if limited knowledge)
  • Troubleshooting - as ICARS is a rather new organization it is key that you enjoy finding solutions when the organization face administrative challenges or when it moves into unknown territory.
  • Administrative tasks in relation to hiring new staff and on-boarding
  • Focal point for all communication with Statens IT as well as Statens Serum Institute.
  • Processing invoices
  • Procurement of office supplies, furniture, IT equipment etc.
  • A broad variety of administrative and practical tasks with a strong requirement to be self-driven.

Your background, professional and personal qualifications
We are looking for an experienced Administrative Assistant who is interested in working in an international environment and in a new international organisation. The tasks will be diverse and will evolve as the organisation continue to develop. It will be considered an advantage, if you have experience from international cooperation and/or from a self-owned, self-governed institution.

Professional skills

  • Minimum 7 years of experience from administrative positions in public administration, international organisations or self-owned, self-governed institutions.
  • IT-literate - superuser knowledge of Microsoft Office will be an advantaged
  • Previous experience with travel arrangements/accounts, processing invoices and procurement
  • Strong experience with archiving and archiving systems is seen as an advantaged
  • Proficiency in Danish and English (English is our working language but you will also cooperate with certain Danish institutions)
  • Experience in organising meetings and events

  • Strong collaboration skills and ability to build strong relationships with internal and external stakeholders

An exciting opportunity to join a new initiative in its inception. You will be part of a currently small but growing team (currently 25 employees with 12 different nationalities). Our team is composed of enthusiastic international pioneers that believe in ICARS’ mission and are highly motivated to ensure its success. The Executive Administrative Assistant will have an important role in providing the necessary administrative support for this work.

Terms of employment
Depending on your educational background and level of experience, salary and appointment terms will be based on the collective agreement between the organizational agreement between The Danish Ministry of Taxation and the Organisation for Salaried Employees HK/Stat (Organisationsaftale for kontorfunktionærer, laboranter og it-medarbejdere (HK)), according to chapter 3 in the agreement, and the collective agreement between The Danish Ministry of Taxation and the Organisation of Public Employees (OAO-S-Fællesoverenskomsten).

We are currently based at Statens Serum Institut in Copenhagen, Denmark.

This is a three-year full time position with the possibility of extension. The position is available as soon as possible.
