In OFP Production we are looking for an administrative assistant to support our leadership team across two departments. As an active member of the leadership team your key area of responsibility will be to support the leaders and departments in a wide range of administrative tasks such as meeting coordination & scheduling, note actions at meetings with high complexity and high level of confidentiality and help secure timely follow up.
Your primary tasks will be: • Budgets and accounts - supporting with financial controlling at department level
• Meeting coordination & scheduling
• HR processes
• Onboarding new employees
• Archiving In collaboration with the rest of the administrative assistants in our area, you will be responsible for ensuring that new employees go through an extensive onboarding program as well as assist during audits and inspections. You will also work with your colleagues in optimizing administrative processes across our SVP (Senior Vice President) area.
Qualifications We're seeking candidates who fulfil the following prerequisites:
• You have 2-3 years’ experience from complex administrative roles.
• You have proven skills in driving administrative processes, handling, and organising tasks, and you demonstrate good business understanding.
• You have excellent skills in MS office and find it easy to master new IT systems, such as MS 365, SharePoint etc.
• You can work independently with a can-do-attitude. You have a proactive approach to the job and thrives well with tight deadlines.
• Fluent in Danish and can understand and communicate without problems in English.
As a person you are flexible and thrive in a lively environment. You are recognised as being a trustworthy person who possesses high integrity with an eye for delivering high-quality results. You are service minded, have a can-do attitude and master good coordination skills. You can work independently, being proactive and always striving to find solutions to the challenges at hand. If you have experience with SAP, HR or Finance software this will be an advantage.
About the department
OFP Bulk Production, is an area within Oral Finished Products (OFP) Denmark, that consists of approximately 120 people. OFP Production is an area off approximately 1000 employees, responsible for production of oral finished products. Decentralised in this area, you will find peers, for daily sparring and insights. In this new position you would report to the Director of our unit, but in daily business, you are part of our management team. Moreover, you can expect to have a solid administrative assistant network from day one.
