Workplace experience partner, as a part of the global People and Culture team, is a role responsible for curating on-site experiences that support employee satisfaction, positive workplace experience, engagement and productivity.

As the Workplace Experience Partner, you will support our 30+ colleagues in the Copenhagen office while overseeing all aspects of the working environment. This ranges from the physical layout of the office space to the technologies that enable collaboration.

Job responsibilities

Office Management

  • All day to day office responsibilities, including office layout, capacity and space planning and implementation of new processes and procedures, office security systems, functional equipment and meeting rooms etc.

  • Owning and ensuring health and safety protocols are implemented and up-to-date

  • Office supplies - kitchen, office etc, regularly stocked with supplies

  • Taking care of the lunch setup and communication with food providers (analyze people's feedback and change providers if necessary)

  • Managing deliveries and packages to the office, taking care of post and checking the post box, administering invoices to Finance etc.

  • Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order

  • Own and manage complete travel management logistics for the employees in the local office (booking flights, hotels, sharing that info with employees, getting travel insurance, etc. for all business related travel)

  • Close cooperation with Finance team on travel management tools and expenses


People & Culture

  • Act as a true ambassador of Cylindo DNA and manifest our culture at the office

  • Own and manage the social calendar, and all office and social events (team events, social time, outings etc.)

  • Be aware of employees needs and making sure time spent at the office is the best experience it can be

  • Understand and support how brand and culture are wrapped into people’s daily experience or what type of office plan layout best supports people preference work styles.

  • Support the People team in various admin tasks related to our people

  • Collaborate with the Workplace Experience Partners in the Macedonian and Boston Office in how we can make sure that time spent in the office is the best experience it can be

  • Support the welcoming and onboarding of new people incl. ordering of equipment and communication prior to their first day

  • Manage office and employee communication in terms of office shared information

  • Own admin work around onboarding a new employee (creating accounts, providing people access to tools, setting them up for payroll

  • Support employees' offboarding process

  • Keep confidential employee information, and follow GDPR and Data Protection laws and regulation



Requirements


  • Min. 2 years experience in Office Management or HR, preferably in a global company

  • Solid exposure to a wide range of office management functions (stock management, event planning, office administration, scheduling, day-to-day people operations)

  • Trustworthy and solution-oriented with a deep sense of empathy, urgency, and strong business acumen

  • Readiness and willingness to tackle other HR ad hoc projects as needed

  • People’s person, approachable, empathetic, objective, discrete person

  • Excellent communicator with an analytical thinking and problem-solving mindset

  • A person who gets things done
