The position

You will be an active member of the PP QC Laboratory department interacting with both internal and external stakeholders. You will support a department with a wide range of tasks including coordinating activities, reporting, putting together agendas and taking minutes, onboarding of internal and external colleagues, planning of department, team or project activities e.g. seminars, contributing to department strategy and organisational change management initiatives, and much more.

You must be able to prioritise own tasks and work independently and we expect you to be forward-looking. You will use your curiosity to drive new initiatives and improve processes and also bring forward ideas for improvement that will benefit both colleagues and managers in their daily work.

You will be part of and work closely with the other department assistants in the area where you will solve cross-organisational tasks. You possess a ‘need-to’ mind-set to avoid over-processing and this will help us keep administrative processes standardised across the organisation.

Qualifications

  • You have experience with presentations and great communication skills
  • You have experience with MS Office365 and the interconnected functionalities.
  • You have a flair for numbers and experience with the planning and controlling of budgets and you are expected to be able to navigate in the SAP system
  • You have experience with document control systems
  • Preferably you have been part of a management or project team or you are familiar with working in a dynamic matrix organisation
  • Preferably you have at least 3-5 years of experience from a similar position

As a person you are reliable, loyal, structured and service minded. You have a ‘can-do’ attitude and enjoy working according to tight deadlines and as a part of a dynamic team. You are self-motivated, work independently and used to thinking steps ahead of others and secure coordination. You have the ability and willingness to adjust quickly to new situations in a continuously developing environment.

About the Department

PP QC Laboratory is a support department in Purification Plants (PP) with approximately 70 employees. The department has 5 teams which is responsible for analysing samples for 4 different purification factories.

As Department Assistant you will report to the Department Manager and be a part of a management team of 9.
