Manufacturing and Global Procurement Global QSE
We are looking for a Management Assistant reporting to the SVP of Global QSE. The role will be based in our Aarhus, DK office (Vestas global HQ), and key work content will be a mix of strategic project management and PA/admin tasks within QSE management, and the SVP office in particular.
We are looking for a candidate who has a strong administrative background with a willingness to take on projects from strategic and executive levels. We are looking for a candidate who is structured, organised and who is actively listening, proactive, and able to work autonomously within his or her area of responsibility.
The SVP of Global QSE heads up +500 employees globally. Organisationally, the Global QSE function is part of the Vestas COO area operating with a regional setup. This means that daily work routines will reflect both line and matrix organisation, interacting with stakeholders across the full Vestas value chain, as well as customers and external partners and stakeholders.

Responsibilities

  • Handle calendars and actively organise management's scheduling needs
  • Coordinate cross-functional projects and administrative tasks within the QSE Group function
  • Plan, facilitate and follow-up from meetings
  • Responsible for uploading and updating of team site in SharePoint or MS Teams, e.g. ex. action log from management meetings, internal news and announcements
  • Handle Microsoft Teams, creating and maintaining Team Groups
  • Prepare presentations, reports, speeches for Head of QSE
  • Travel planning and expense reporting for Head of QSE
  • 50% of the job will be related to leading and facilitating Global QSE initiatives, cross functional and interfacing with various levels of the organisation


Qualifications

  • Must have extensive previous experience in a similar position within Administration/Communication in an international company
  • Experience of Quality and Health, Safety & Environment would be highly desired
  • Should be proficient in MS Office (especially PowerPoint), SharePoint and Microsoft Teams
  • Project Management experience would be desired
  • Solid experience in travel coordination
  • SAP Concur is desired but not necessary

  • Solid understanding of the support function in a global company
  • Good interpersonal skills required to deal with internal customers and external stakeholders
  • Good organisational skills and ability to work with existing processes while also implementing new ones
  • Service as well as open-minded attitude
  • Team-oriented attitude with eagerness to broaden the knowledge in the company across functional areas
  • Robust and positive personality with the ability to interact with colleagues at all levels
