Our office is located in Copenhagen Towers in Ørestad. It is a welcoming and sustainable building, providing several in-house facilities, including canteen, catering, reception, technicians, and fitness centre.

As our organisation has grown significantly over the past 1.5 years, we are expanding our office to an additional floor and reconstructing parts of our existing floor. We and our landlord will have a number of suppliers to do the remodelling. But we need you to pay attention to all the details, timelines and coordination with your colleagues to ensure that the process is as seamless as possible.

As our company works with critical infrastructure, we have a high degree of physical security which adds an extra level of complexity to the remodelling.

You will be responsible for:

Remodelling of offices:

  • coordinating renovation of the new floor with our landlord (landlord is responsible for the renovation) (H1 2024)
  • coordinating move from interim floor to new floor (Q2 2024)
  • coordinating purchase and delivery of furniture (2024)
  • plan and coordinate reconstruction of parts of existing floor − in collaboration with external security and construction specialists (Q2-Q3 2024)

Physical security and safety

  • implementation of physical security requirements, including procedures
  • coordinating documentation, maintenance and changes with vendors of physical security services
  • coordinating and assuring compliance with fire protection regulations

Daily functioning of the offices

  • the functioning of the office, considering potential alterations and improvements
  • coordinating with Copenhagen Towers, e.g. fire drills, technical support, and temperature in office
  • coordinating with craftsmen
  • physical health and safety in the office
  • evaluating and reacting to feedback from the users of the office, e.g. follow-up on responses in Workplace Assessment (APV) on physical workplace
  • general support and service to colleagues in relation to facility management issues

Our team, Business Support, covers Finance, HR, Legal, support to the CEO and the Board of Directors, Communications and Office Management. We all have broad roles, and you should be ready to take on many different tasks. Our Office Assistant is responsible for creating a welcoming office environment, and the two of you will work closely together on the daily functioning of the offices.

The position is a 12 months’ project employment that matches the timeline of our remodelling projects.

Experienced coordinator with technical skills

We expect that you have experience from Facility Management or being a craftsman yourself – this has provided you with technical knowledge and skills. It is a prerequisite that you have experience in coordinating reconstructions of buildings or remodelling of physical work environments.

In addition, you are

  • detail-oriented and highly organized
  • able to prioritise the tasks at hand and meet deadlines
  • proficient in both Danish and English

As a person, you are proactive and take responsibility of achieving results. You communicate well, can build good and collaborative relationships and have a positive attitude.
