About the department

Safety Surveillance is a department within Global Safety and has more than 80 professional people with a high level of educational background within natural science. Safety Surveillance has the global responsibility for the surveillance of all safety information for Novo Nordisk’s products that are currently marketed or under development worldwide.

The position

You will be primarily ensure oversight of our operational budget including preparation and entry of data for budget updates in SAP where you will work in close collaboration with the assistant reporting to our VP. You will be responsible for the monthly budget follow-up and provide our leadership team with status reports and ensure oversight of training and travel activities. You will also be responsible for handling invoices from vendors, purchase in eProcure/COUPA and support/train employees in using Concur to process expense reports. In addition, you will be responsible for providing support to two directors from our leadership team with various tasks as needed, e.g. organise department/management meetings (Issue Agenda, arrange logistics, take action points and follow-up on closure), arrange travel, and plan team days/activities. Furthermore, you will play an important role in driving good documentation practice in our department which require a natural flair for structure. You will be involved in establishing and maintaining a new structure for archiving of business critical documentation, and administration of accesses to a new restricted archive. Finally, you will ensure oversight of licenses for specific IT accesses used within Safety Surveillance. You will bring broad and in depth experience and understanding of how to support an organisation best possible from previous jobs. You will get the opportunity both to work independently and within our team of three administrative assistants, where you also occasionally will act as back-up to onboard new employees. Assuming responsibility, being service minded and taking action will be essential parts of your work day.

Qualifications

You have an administrative or academic background within business administration with a minimum of 5 years of relevant working experience, with a proven track record in accounting and administrative support for management teams or managers.

As a person you bring positive energy, are responsible, service minded, proactive, well-organised, have an eye for details and like structure. You can easily adapt to a changing environment and shifting demands, and has a pragmatic approach when you need to handle several tasks simultaneously in peak periods.

You thrive in a multicultural environment of continuous development, are a team player by nature, and are good at establishing contact, collaborating and communicating with your peers and stakeholders.

You are proficient in both written and spoken English, and are highly skilled within Office 365 and find it easy to master new IT systems.
