The position In the Science and Early Development Committees secretariat, you are offered a challenging and exciting position and you can look forward to many different tasks, ranging from administrative to project and process optimisation oriented. You will be deeply involved in the preparation and execution of committee meetings, while also considering how to optimise processes and meeting set-ups. Your primary focus will be: Planning and execution of tasks e.g. monitor the secretariat inbox, keep track of requests in the meeting planner, send calls for pre-read, coordinate meeting invites to participants, receive and consolidate materials for distribution, send out meeting invites and minutes etc. Ensure meeting practicalities e.g. order catering, reserve parking, coordinate the technical meeting setup, support colleagues and communicate with presenters during meetings about timeslots. You will participate in the committee meetings to ensure these run smoothly. Drive and optimise administrative setup, e.g. control access to materials, update mailing lists, on-board new members, draft announcements, maintain the committee Sharepoint, introduce new initiatives Voting set-up for agenda items and outcome of sharing of voting outcome with project teams, committee members and presenters Secondary, as time allow, you will assist with department coordination and administrative tasks As part of the job, you will have frequent interaction with the assistants throughout the organisation when arranging meetings, setting up ad-hoc interactions and solving complex calendar challenges. Furthermore, you will also work with the Personal Assistants to the Corporate Vice President and other assistants in the area, and you will support each other during peak periods, vacation times and on joint tasks. In the secretariat you will work together with your colleagues in the secretariat and portfolio team and you will report to the Vice President (VP) of R&ED Strategy Development, Portfolio & Analytics. The job is located preferably in Bagsværd, Denmark and we work in a dynamic and flexible setting. Qualifications To succeed in this role, we imagine you have the following qualifications: 3+ years of relevant working experience within administration, governance support and/or meeting planning. Experience working in an international, corporate setting, knowledge of the pharmaceutical industry is an advantage. Skilled in IT systems, e.g.: MS Office, aptitude for learning new systems and processes. Are used to work with many different stakeholders at different organisational levels and used to build strong network Effortless communication in both verbal and written in English on business level. As a person you are organised, dedicated, and have a strong focus on quality, and you enjoy working with administrative processes and proactively share your suggestions for improvement. You manage to stay calm and navigate busy periods with a great overview and enjoy working with tight deadlines as part of a dynamic area. You have a ‘can-do’ attitude, are self-motivated, enjoy working independently and are used to thinking several steps ahead of others and secure coordination. About the department We are looking for a Secretariat Assistant to join the Science and Early Development Committees Secretariat. The mandate of the committees is to prioritise and progress early research projects in alignment with Novo Nordisk’s portfolio ambitions. The two Committees meets regularly and is chaired by our Chief Scientific Officer and our Senior Vice President for Global Drug Discovery. The two committees consist of senior leaders and experts from across the organisation. R&ED Strategy Development, Portfolio & Analytics is responsible for working with the R&ED organisation, Governance and Leadership in setting and communicating the strategic direction for the R&ED organisation and ensuring data-driven R&ED project portfolio decision making. Together this supports the execution of the R&ED and corporate strategies with the ambition to deliver optimal pipeline value for Novo Nordisk. To accomplish these objectives, the area work collaboratively with all functional area within R&ED as well as across the Novo Nordisk enterprise.
