Areas of Responsibility:
A Project Coordinator has the following basic tasks in connection with a project, which means that the Project Manager can expect them to be handled by the associated Project Coordinator:

Invoicing:

  • Create and manage invoice plan for the project.
  • Send invoice for the project
  • Maintain invoice overview and send reminders for unpaid invoices

Variation orders:

  • Prepare VOR for the project
  • Maintain VOR overview for the project

Notifications:

  • Fill out notification plans
  • Send out NOI according to GL-PRO-119

Other Responsibilities:

  • Prepare/create overview of project economy (incl. VO/CO overview) for use at review meetings et al.
  • Manage/facilitate project meetings
  • Take the minutes and follow up on them
  • Prepare/create project reports
  • Interface with SCM for the purpose of managing Procurement plan
  • Initiate and manage documents that have PRO as Originator as agreed with Project Manager
  • Spar with Project Manager and the project team
  • General work that supports FLEXIBLES values
  • Create project-specific documents as agreed with Project Manager

Areas of Joint Responsibility:
The Project Coordinator shares responsibility with the Project Manager in a number of areas, listed below. This means that the Project Coordinator is obliged to notify the Project Manager at first and subsequently his/her immediate manager if the following conditions are not met.

The project is sound, which means:

  • there is a clear distribution of roles throughout the project
  • there is a good atmosphere/morale in the project
  • schedule is maintained and followed up on
  • PRD is updated
  • Sales-order is updated
  • Procurement plan is updated
  • There is the best possible relationship with the Customer
  • All agreements with the Customer are kept
  • Internal agreements are kept
  • Through working proactively with suppliers – including Kalundborg – to ensure that all agreements are kept to the letter
  • Knowledge of project contracts and own tasks

Qualifications

Expected Behavior:

As a Project Coordinator interfaces with a large number of external and internal partners, he/she is expected to have an accommodating attitude and a strong sense of service.

To be successful as a Project Coordinator, you will have the ability to contribute towards a team driven environment and have the drive to work well as an individual. You will be keen to develop your project and business administration skills as well as your technical understanding.
