Executive Assistant – Contera Pharma

At Contera Pharma (www.conterapharma.com) we are seeking an executive assistant to join our headquarter office.

Contera Pharma is a Danish biotech company located in the DTU Science Park in Hørsholm, focused on developing new treatments for patients suffering from brain diseases. We are currently an organization consisting of 11 people, with 9 people located at our headquarter in Hørsholm (administration and research innovation) and additional people located in Seoul, South Korea (clinical operations). Contera Pharma is currently going through a growth phase and from October this year, we will be moving into new facilities in Hørsholm, including both office and laboratory facilities. We are seeking an Executive Assistant (30hrs / 37.5hrs) to join us from Nov. 1, 2022. The candidate will refer directly to the CEO.

As Executive Assistant you will be working closely with the CEO and the executive management team, broadly assisting with the execution of daily administrative tasks. You will be expected to manage many daily activities in parallel, while keeping a grounded overview. Since we are a small company, flexibility, agility and empowerment are important for us. It is essential you have appetite to make a difference while seeing yourself as part of a team. We expect the candidate to be very structured and organized with a collaborative, dynamic and constructive mindset alongside a “can-do” attitude. Since the position is very central for Contera it is important to have interest and capabilities to interact with a variety of colleagues and external collaborators, representing different cultural and educational backgrounds.

Specifically, as Executive Assistant your tasks will be:

  • Personal assistant to the CEO
  • Participate in CEO office tasks (leadership meetings, Board of Directors meetings, press a.o.)
  • Assistant to the management group (internal and external tasks)
  • Setup administrative routines according to the company guidelines
  • Involved in setting up company HR platform and other company platforms
  • Conduct accounting basics and work with external partners to optimize administrative processes
  • Coordinate/arrange travels, report work-time/vacation, plan company arrangements etc.
  • Coordinate administrative tasks with our South-Korean office
  • Assuring office supplies and other practical matters related to office function
  • On/off-boarding process of employees
  • Help build a strong company culture together with the team

The candidate profile:

  • Previous experience working as executive assistant
  • Previous experience with basic accounting principles and processes (legdercards, e-conomics etc.)
  • Curious and energetic by nature. Flexible and open to new challenges
  • Able to deliver, alone and as part of a team
  • A firm eye on details, but also able to push tasks forward to completion
  • Fluent in English (writing / verbal)
