Are you an open and inviting administrative employee with a special flair for service and structure? Then you might be our new Department Assistant in Facilities and Workplaces (F&W) in Bagsværd. This is a temporary position with a duration of 12 months. The Position As Department Assistant you will support the departments under the Director for Facilities and Workplaces and the manager for Corporate Facilities Projects. our tasks may include: Tasks for Facilities and Workplaces Handle ID cards and accesses for all departments in F&W Handle photo permissions Prepare and update onboarding plans for new employees Proactively manage various administrative tasks/support across F&W (including planning and booking meetings, events, as well as handling anniversaries, birthdays, etc.) Ad hoc support for F&W mgmt. e.g. minor communication tasks in the form of info-mails to the departments Task for CFa Projects Handle and approve internal and external users “own” the department's access, including access review Book meetings such as, department seminar, department meetings, 1:1 etc. Ensure that the CFa Project's year wheel is always updated and ready to work from and clearly communicated Responsible for task planner for anchoring various actions in CFa Projects. You will share some of the tasks with your administrative colleagues in the departments for Facilities and Workplaces. Qualifications In order to qualify for this position you must be a dedicated administrative profile who loves to work in a supportive function. Maybe you have previously worked in a role where you have administered safety and accesses or maybe you are keen to learn. Moreover, you have the following qualifications: Administrative experience or education Good IT-skills and easily adapt to new systems - maybe even with experience from access systems from a previous position You speak and write Danish and English at a professional level As a person you are often described as a service minded team-player. You are proactive and are open an respectful in your communication. Lastly, you have a structured and thorough approach to your tasks and are able to prioritise tasks from different stakeholders during peak load periods. About the department We are around 15 other bright people in CFa Projects, who is taking care of facility management and building maintenance across all Novo Nordisk sites in Denmark. We are based in Bagsværd, under the director for Facilities and Workplaces. In CFa projects we have around 350 contingent workers, who is supporting us, maintain a high standard of the building facilities.
