Executive Assistant to Managing Director

We offer a super exciting role where you will be accountable for a wide range of administrative functions including; scheduling and calendar management, travel arrangements and expense reporting, preparing material and presentations for senior audience and executive stakeholders.

You have experience in running events such as townhalls/offsites and socials. You will also be a positive contributing force for continuous improvement of the team’s performance including supporting recruitment, training, culture, and operating model.

Key Responsibilities

  • Manages the appointment calendar and independently schedules appointments.

  • Screens incoming calls and correspondence and responds independently when possible.

  • Arranges programs, events or conferences by procuring facilities and caterers, issuing information or invitations, coordinating speakers, and controlling event budgets.

  • Directs preparation of records such as agendas, notices, minutes and resolutions of corporate meetings.

  • Manages Travel Expense Management and travel coordination for the leader or multiple leaders in the department.

  • Provides ad hoc assistance related to department projects to other initiatives.


Who we are looking for

  • The ideal candidate will have solid experience from a similar role – with a proven track record and a can-do attitude.

  • You are pro-active and efficient, and you are an excellent communicator who enjoy collaborating with various stakeholders.

  • You have solid project management skills, and you are flexible in your way of working – and not afraid of being a challenging partner to your stakeholders.

  • You have excellent interpersonal skills, good judgement – and trust is your “middlename”.
