We are looking for someone who can make sure that our day-to-day routines and meetings run smoothly and who has many ideas on how to improve our daily administration.
About the position
As Vice President (VP) Assistant you will report to the VP of Global Regulatory Affairs (GRA) Policy & Intelligence on administrative tasks to ensure efficiency in the running of the department as well as Regulatory Affairs (RA) Digital Health. Above all, you will work independently to provide excellent administrative support. Aside from managing the VP’s time as well as day-to-day ad hoc task and problem solving, you can expect that your key tasks will be:
  • Responsible for coordinating seminars, internal department meetings and supporting the administrative tasks around our external meetings, both on- and off-site.
  • Responsible for VP department budget, including monthly accounts, travel expenses and follow up.
  • Supporting the Digital Health & IVD team will budget, accounts and expenses.
  • Act as Office Manager and support corporate facilities, IT, and colleagues in system related issues.
  • Responsible for keeping documentation, mailboxes, department binder etc. updated.
  • Additionally, you will participate in the GRA administrative group, supporting alignment on administrative processes and distributing relevant information amongst key stakeholders while jointly supporting the organisation of cross-area activities such as communication, training programmes and large area events.
    The position is a full-time role based in Søborg, Denmark. Qualifications
    To succeed in this role, you should have:
  • Solid experience within administrative roles, preferably supporting on senior level.
  • Proven success record of event management and/or organisation of larger meetings and events.
  • Experience with and flair for IT-systems, hereunder SharePoint and PowerPoint.
  • Great communication skills, and you are able to communication in Danish and English, both written and verbally, on a professional level.
  • Strong accounting/budgeting skills would be a great advantage.
  • Furthermore, you should be able to interact with stakeholders, also outside the department, including working with senior management. You have strong organisational and proactive planning skills as well as good sense of diplomacy whilst still being assertive. On a personal level you are curious, well-organised and a proactive problem-solver. You enjoy working across an organisation and interacting with people with different expertise and at different levels. You take pride in keeping a high bar for confidentiality and business ethics, given the nature of the position. Last but not least, you have a healthy sense of humour, enjoy being part of a team and working with people. About the department
    You will be based in GRA Policy & Intelligence and work with the Global RA Digital Health team. Our people have a unique combination of scientific insights and ability to navigate many internal and external agendas and stakeholders. We work as hybrid teams based in Søborg but also in other locations across the world, such as London, Istanbul, Bangalore, Tianjin, and Washington DC. We travel – a lot – to stay up to date on external developments and to represent Novo Nordisk in professional and scientific fora and meetings, and we therefore have a complex travel budget to match.
