The Position

As Department Assistant, you will be responsible for planning, preparing, optimising and following-up on a wide range of administrative tasks and processes across the area as well as our department Safety Representative.

With a proactive and service-oriented approach you will:

  • Support the management team with planning of seminars and team events
  • Prepare budgets, do monthly follow-ups and handle invoices
  • Perform the role as Local Records Manager (LRM) of physical records. You may also be involved during inspections and audits if documentation needs to be presented.
  • Leading role in inspection preparation as well as responsible for various GMP lists. You will also act as super user of various IT systems and maintain and update SharePoint, Teams-sites and Outlook groups
  • Plan and prepare onboarding of new employees
  • Ad hoc administrative tasks as procurement, coordinate area maintenance tasks, KPI follow up, monthly reporting and portfolio overview

Qualifications

We are looking for a Department Assistant with solid experience, who is passionate and eager to take ownership of diverse assignments ranging from administrative tasks to independent coordination and follow-up.

As an ideal candidate, you:

  • Have 4+ years of relevant working experience from a role within administration, governance support and/or meeting planning
  • Can communicate effortlessly, both verbally and written in English and Danish at business level
  • Are a skilled user of IT systems, including MS Office
  • Are used to work with many stakeholders on all levels and used to build strong networks and relations

Furthermore, you are organised, dedicated, and have a strong focus on quality, and you enjoy working with administrative processes and proactively share your suggestions for improvement. You have a ‘can-do’ attitude and enjoy working with tight deadlines as a part of a dynamic area. You are self-motivated, work independently and are used to thinking steps ahead of others and secure coordination.

About BRD QA API DK

Our department BRD QA API DK are currently growing to support our five production facilities located in Hillerød, Gentofte and Kalundborg and consists of more than 50 highly qualified employees led by an engaged and experienced leadership team. In your role, you will refer directly to the Director & QP for BRD QA API DK. The primary location for this position will be in Gentofte but there will be an expectation to be visual at all sites.

Our main aim is to further advance our offerings to people living with chronic diseases and their healthcare professionals through new technologies. You will join a dynamic, international, and innovative environment.
