The Portfolio Coordinator will fully organize the portfolio on behalf of the Portfolio & Strategy Leader. They will own and manage the full schedule of portfolio meetings, create, own, and manage the change, risk, actions, assumptions, issues, and dependencies log, gather necessary resources, and manage effective and regular communications with members of the GDA Leadership Team and the wider team, ensuring tasks are completed in time. They will also have full ownership of several roadmaps, dashboards and document repositories belonging to the portfolio, The goal is effective support to ensure the portfolio’s successfully operation.

Responsibilities

  • Ownership of all portfolio meetings including recording decisions (e.g., next steps, assigned tasks etc.)
  • Measuring and reporting change, risks, actions, assumptions, issues and dependencies
  • Preparing and providing documentation to key stakeholders and internal teams
  • Creating and updating workflows, roadmaps, creation and presentations
  • Tracking and management of GDA LT locations and vacations
  • Shared document repository ownership and management
  • Acting as the contact portfolio administration point for all

What you bring

  • 2-3yrs prior experience as a Project Coordinator, Project Administrator, or a similar role
  • Additional certification (e.g., CAPM, Prince2 Foundation) is a plus
  • Interest in technology
  • Very competent with Microsoft Office, ability to create pivot tables in Excel and PPT presentations
  • Experience with documentation, flowcharts, and schedules
  • Ability to work in a team environment and good with people
  • Strong multitasking skills with the ability to prioritize tasks
  • Problem-solving skills with a keen eye for details
  • Exceptional time-management and organizational skills
  • Strong verbal as well as written communication skills
  • Positive and professional approach to work demonstrated ability to work calmly to tight deadlines, ability to solicit feedback, incorporate it quickly and maintain good business acumen in fast-paced environments
  • Continuous improvement mindset to improve current processes through creative solutions
  • Appetite for learning and career growth
