PA and Department Assistant for PSQIT Finance

About the department

You will join the Product Supply, Quality and IT Finance Department consisting of three different teams with a total of 30+ employees and growing. We are responsible for a broad range of financial planning and reporting, business and productivity controlling, digital finance, and production accounting tasks across Product Supply, Quality & IT.

About the job

As a PA and Department Assistant, you will be responsible for supporting on team and managerial level and you will be an active member of the management team. You will support the managers in a wide range of tasks including coordinating management activities, reporting, providing support for managers in hiring processes, onboarding and training, maintenance of mailbox and MS Teams groups, planning of seminars, and much more. Additionally, we expect you to take an active role in the department's own well-being committee with the purpose of maintaining a high level of engagement across all 3 teams in the department.

You must be able to prioritise own tasks and work independently and we expect you to be forward-looking. You will use your curiosity to drive new initiatives, improve processes, and bring forward ideas for improvement that will benefit both colleagues and managers in their daily work.

In order to provide optimal conditions for handling the above you will be reporting to the VP of PSQIT Finance, Cristina Sima, and you be having access to all teams and will be expected to collaborate broadly in and outside the department and in general contribute to a good and healthy working environment.

Qualifications

It is not mandatory that you have experience from the pharma industry, but you have at least 3 years of experience from a similar function. As the corporate language is English, it is important that you are able to communicate professionally in English, both orally and in writing.

In addition, we emphasize that you are strong in the following areas:
- IT: Solid experience with MS Office 365 and properly also other administrative systems
- Planning: You able to plan own and other’s time and activities
- Quality and detail awareness: You have an eye for the importance of detail for the overall result and ensure high quality in everything you deliver
- Service-minded and outgoing: Takes pride in delivering support to the department's members and managers and maintain the good cooperation, also during time with high workload
- Focus on the greater good: You take a holistic approach

As a person you are reliable, loyal, and service-minded. You have a can-do attitude and enjoy working according to tight deadlines. You can effectively plan, prioritize, execute, and follow-up in a proactive and timely manner. You can work independently and always strive to find solutions to challenges at hand. You have the ability and willingness to adjust quickly to new situations in a continuously developing environment.
